Zoom, Resource (Service) Accounts

This article details how to setup a non-person resource account to be used for Zoom.

Please choose one of the following options to configure a non-person account access to Zoom.

Option A: Using an existing resource account.

Use an existing resource account and simply request a Zoom license be applied.   In these cases send an email to consult@illinois.edu (or call 217-244-7000) requesting the resource be upgraded to Licensed.

Option B: Default mail-enabled Zoom account

Note: This account will only be (externally) reachable by sending email to account-name@mx.uillinois.edu. If you would like a Zoom account to be reachable with an illinois.edu email address by all email, please see Option C or D below.  For steps on how to create a mail enabled account with mx.uillinois.edu domain follow these steps:

Create the Account in AD

The first step in creating a role-based account is to create an Active Directory (AD) user in the department's Organizational Unit (OU). This will have to be done by someone who has been delegated OU Admin authority, typically the unit's IT Professional.

Zoom Specific Mappings:

Fill out the "New Object - User" window using the following Zoom specific guidelines:
  • First name, and Last name are the first and last name fields in the Zoom profile. The two fields will be concatenated the create the Zoom display name.  Please set this accordingly.
  • IMPORTANT: Choose mail attribute.  This will be the username and email for your Zoom account.
    • Option B:  userLogonName@mx.uillinois.edu
More information about how to create a user object in AD can be found here: Active Directory, How to create an AD Account In Department OU

Mail enable account

Send an email to exchange@illinois.edu requesting to mail enable the new account.

Log in to illinois.zoom.us

You have now completed the setup of a resource account that will allow you to access UIUC Zoom.

After the account is created, enabled, you have logged into illinois.zoom.us (described above), please submit a ticket to consult@illinois.edu or by calling 217-244-7000 requesting the account be upgraded to Licensed. Include the User Logon Name created for the account and ask that it be escalated to Zoom Tier 3.

Option C: Redirect account mail using group alias.

This solution makes efficient use of available resources and is strongly recommended by Technology Services.  Note: this will not allow you to access meeting information via 3rd party calendar integrations tied to the account you're forwarding mail to; you will only receive email.  You can download the calendar file and upload them to your personal calendar if required.
If you would like a Zoom account to be reachable with an illinois.edu email address, but would like to redirect incoming mail to a pre-existing mailbox, please complete the following steps:

Please Create the Account in AD

The first step in creating a role-based account is to create an Active Directory (AD) user in the department's Organizational Unit (OU). This will have to be done by someone who has been delegated OU Admin authority, typically the unit's IT Professional.

Zoom Specific Mappings:
Fill out the "New Object - User" window using the following Zoom specific guidelines:

  • IMPORTANT: Choose mail attribute.  This will be the username and email for your Zoom account.
    • Option C:  userLogonName@illinois.edu
More information about how to create a user object in AD can be found here: Active Directory, How to create an AD Account In Department OU

Request a Group Alias

Please complete the Group alias form. In the email address of the group alias request, enter the email address of the individual or group who should be receiving the email sent to the new account.  Add proxies who will be able to access and edit central registry entry for the new alias.

Request account be stamped with new alias

If you're forwarding the mail to an existing UIUC managed Exchange mailbox, send a request to exchange@illinois.edu requesting the existing mailbox be stamped with the new: account-name@illinois.edu.  This will allow the existing account the ability to receive mail sent to the new account-name@illinois.edu.
Edit forwarding in EDE

Account alias proxies will be able to log into https://ede.techservices.illinois.edu to edit the forwarding address at any time.

Option D: Create new resource in AD and illinois.edu Exchange mailbox

Note: This option requires the most lead time and maintenance/management by the IT Pro in the long term.  Please only use this option if the account needs a public facing email address for an extended period of time or you have strong reliance on a 3rd party integration that requires a standalone mailbox/calendar.  This is not a reasonable solution for short term or temporary accounts, or when there are solutions available falling under the two options listed above.
If you would like a new Exchange account and Outlook calendar created, with an illinois.edu domain please complete the steps below:
