Illinois Compass 2G, Course Archive Project Fall 2020
This document details the Fall, 2020, archive project for courses hosted on Illinois Compass (Blackboard Learn)
What is happening and why?
Starting in September, 2020, the Illinois Compass Operations group will begin a planned project to export and archive older course spaces off of the Illinois Compass production environment. This is necessary to reduce our storage footprint within our hosting facility (Blackboard Managed Hosting), and to implement a process for doing the same annually. There are also compliance guidelines and requirements for maximum retention of course/student data as directed by Records and Information Management (RIMS) to which we are aligning.
Where can I review the list of courses for archive?
I have courses that may be affected. What can I expect during this process?
There will be no downtime or changes to the system during this process which is expected to take 1.5 to 2 months to complete. Estimated completion will follow Fall, 2020, finals.
I have a course that is marked for archive. How will I create a new course shell next term if my source course has been archived?
If you rely on older courses to provide content for new course shells, there will be an extra process to follow, which will be detailed in the Illinois Compass Space Request Application. This process follows:
- access the SRA to request your new course space(s)
- search for your source course for content copy
- NOTE: the source course is now missing from the list
- continue with the course create process to setup a blank course shell
- email email@example.com with your newly created space and the original course space you would like to use as a content source
- Illinois Compass Operations will manually clone your original source course into the new space
- NOTE: no student data will be present, only course content, formatting and layout
Where are my courses going once they are removed from the Illinois Compass environment?
The courses will be stored securely in U of I Box and remain available for reference. Please note that at some point the courses will reach an age they must be permanently removed from all U of I systems. As before, this is a RIMS compliance requirement, and information will be provided when it comes time to purge these courses.
Can I archive my course so that I have a "backup" before the source course goes away?
No. Individual, personal course archives are not permitted due to the sensitive nature of the data contained within, including possible licensing/copyright issues.
What can I expect annually from this point out?
Following the completion of Summer courses, the archive process will begin by flagging all courses prior to the Fall term as of 4 years ago. Example: this year we're archiving courses prior to Fall, 2016. If you're relying on course content from that term and on, you're in good shape!
Update: January 7, 2021
The courses will be removed over the weekends of January 8 and January 15. There is no impact expected to the rest of the system while this process is ongoing. However, there will be no enrollment changes during these weekends.
