iBuy - Ship To Address: Completing, Adding, Using and Requesting

Setting Up and Using Ship To Address

When your iBuy Profile is established, the Default Address will be populated based on the Banner Ship To Code provided in the access request submitted by your Unit Security Contact (USC). The Default Address will automatically populate onto your requisition as the Ship To information for the vendor.

All users will need to complete the Location field of their Default Address before creating a requisition to avoid an incomplete address error.

For those based at the Chicago Campus, specifically within the Medical Center and will be placing orders with ODP Corporation, you will need to follow the steps outlined in the Adding a Ship To Address to your profile section below to add and set your Default Address to the appropriate Ship To Code for the address specific to your location. This will ensure delivery of your order directly to you. Orders will error if Receiving West (Ship To Code 2CRCW1, 912 S. Paulina St.) or Central Receiving (Ship To Code 238605, 912 S Paulina St.) is set as your Default Address.

Completing the Location Field for your Default Address

  1. Log in to iBuy.
  2. Click User (silhouette) at the top right of the page.
  3. Select View My Profile.
  4. Click Default User Settings on the left column.
  5. Select Default Addresses.
  6. Select the bold default ShipTo listed under Shipping Addresses.
  7. Complete the required Location field. This detail is to support the information from Banner in Address Lines 1 through 3. Examples include building name, room/suite number, lab name, floor location or email address.
    NOTE: Do not enter a street address in this field.
  8. Click Save.

Adding a Ship to Address to your profile

  1. Log in to iBuy.
  2. Select User (silhouette) at the top right of the page.
  3. Select View My Profile.
  4. Select Default User Settings on the left column.
  5. Select Default Addresses.
  6. Select Select Addresses for Profile.
  7. Search for the desired delivery address in the Nickname/Address Text field using one of the following methods.
    1. Enter the Banner 6-digit Ship To Code (if known)
    2. Enter your Chart and the first 3 digits of your Org Code (without the dash)
    3. Enter an address detail such as department name, room number or street address
  8. Select Search.
    NOTE: Do not use an address that does not match the exact delivery address. Refer to the Requesting Ship To Options section below.
  9. Select the radio button next to the matching address.
  10. It is recommended not to change the Nickname field and to leave the value as the default Banner 6-digit Ship To Code. This will avoid Punchout Catalog validation issues.
  11. Complete the required Location field. This detail is to support the information from Banner in Address Lines 1 through 3. Examples include building name, room/suite number, lab name, floor location or email address.
    NOTE: Do not enter a street address in this field.
  12. If this Ship To is your primary address, check the Default box. The Default Address will auto-populate when creating a requisition.
    NOTE: Multiple addresses may be added to your profile, but you must have a Default Address selected.
    NOTE: If you are ordering on behalf of others that use the same delivery location, it is not necessary to save the same delivery location multiple times. It only needs to be saved once. Follow the steps for Using a Ship-To Address on a requisition and update the Attn: field as needed.
  13. Click Save.

Using Ship-To Address Options on a Requisition

  1. Select Proceed to Checkout once draft cart is complete.
  2. Your Default Address will automatically appear on the requisition.
    1. If the Default Address is the correct delivery location for the order, proceed with processing your order.
    2. If you need to change the delivery location, proceed to Step 3.
  3. Use the pencil icon in the Shipping section to select one of the other addresses you have saved to your profile using the set-up steps above.
  4. Review the address options and select one of the radio buttons next to the address you would like to use.
  5. Select the desired Ship To address option.
  6. Select Save Changes.
  7. Your name will populate in the Attn: if the field is set correctly. You may change this field to the individual who requested the order or will be receiving the shipment.

Requesting Ship-To Address Options

After confirming the address you need is not in iBuy using the search steps outlined above, complete the Banner Ship To Address Add Form found in the Purchases Forms section of the Business & Finance webpage.

Once the form is submitted it will be sent to your purchasing office. At that point, your campus Purchasing Office will provide you with the Banner 6-digit Ship to Code assigned to the requested address addition. Use the Add steps above to add to your profile.
