FindTime: An Outlook tool for polling / scheduling a meeting

This page outlines how to use FindTime in Outlook to schedule meetings.

FindTime is a Microsoft add-in that you can use for polling meeting attendees or for easily seeing when all meeting attendees are available. It is similar to Doodle, but better for us since it's already integrated with Outlook.

First, install FindTime (https://findtime.microsoft.com/)

Creating a Poll: Creating a Poll (link to Microsoft's documentation)

While we have linked to Microsoft's documentation so that any updates that they make will be easily available for you, here is a brief outline of how it works:

  1. In Outlook, create a new email and add the recipients/meeting attendees, then select FindTime.

  2. At a glance, you'll see when everyone is available, allowing you to select the best possible options for your meeting time.

FindTime showing options of times to provide in the poll

  3. Once you have selected various time options and sent off the poll, the recipients will be able to vote, including indicating their preferred time.

  4. After all of the votes are in, you can easily schedule a meeting from the results page by clicking on New Meeting.
