Zoom: Noteworthy Settings

This goes over recommended zoom settings along with best practices for setting up your zoom meetings and accounts.

Some Zoom settings can be found in illinois.zoom.us, while others are in the downloadable Zoom desktop application. This documentation will direct you to helpful settings that can be found in both locations.

Noteworthy Settings at illinois.zoom.us:

  • Security 

    • 1: Only authenticated users can join meetings -- Turning this setting on prohibits those without UIUC accounts from joining the meeting. 

    • 2: Only authenticated users can join from web client -- This is similar to the previous setting, but restrictive to the web client.

  • Schedule Meeting 

    • 3: Host video -- Turning this setting off will prevent your camera from automatically turning on when you start a meeting or join a meeting that you’re hosting. 

    • 4: Mute all participants when they join the meeting -- This setting does what it sounds like and is great for large groups of participants. In general, it is recommended that this setting be turned on for your participants’ privacy.

  • In Meeting (Basic) 

    • 5: Auto saving chats -- Chat messages will automatically be saved to a folder on your computer once a meeting has ended. 

    • 6: Display end-of-meeting experience feedback survey -- You can change the frequency with which Zoom surveys you when you end a meeting. 

    • 7: Screen sharing -- You can change the settings for who can share their screen and who can start sharing when someone else is sharing. It is recommended to allow participants automatic screen sharing capabilities if participant screen sharing is used in your class. 

    • 8: Non-verbal feedback -- This adds additional icons (yes, no, slow down, speed up) for participants to use in the reaction menu during a meeting.  

    • 9: Reactions -- This adds emojis for participants to use in the reaction menu during a meeting.

  • In Meeting (Advanced) 

    • 10: Closed captioning -- This is where you can turn on the live transcription option, so that you can always select it in your meetings. 

    • 11: Show a “Join from your browser” link -- When given this option, students are able to join class from their browser instead of the desktop app.

  • Email notifications 

    • This manages when you or participants will receive emails about recordings, meeting cancellations, co-hosts, etc.

  • Other

    • 12: Blur snapshot on iOS app switcher – When screen sharing, sensitive information such as your email inbox contents will be blurred out. 

    • 13: Schedule Privilege – Gives other users the ability to schedule meetings with this account, works well for organizational accounts.

Noteworthy settings on the Zoom desktop application: 

  • General 

    • 1: Integrate Zoom with Outlook; Only available on Windows – This ensures that your statuses on Zoom and Outlook (Available, Do Not Disturb, etc.) will be consistent with one another.

  • Video 

    • 2: Turn off my video when joining meeting – This ensures that your video does not turn on when you join a meeting.

  • Audio 

    • 3: Test Speaker – This tests to see where zoom will output audio. 

    • 4: Test Mic – This tests to see if Zoom is receiving your audio. 

    • 5: Mute my microphone when joining a meeting – This ensures that your microphone does not turn on when you join a meeting.

  • Share Screen 

    • 6: Show my Zoom Windows to other participants when I am screen sharing – This only occurs when you are sharing your desktop. This will show your Zoom toolbar to students and is useful for showing how to do something in Zoom, but otherwise unnecessary. 

    • 7: Enable the remote control of all applications – This is only usable in Zoom webinars; gives non-panelists the ability to control a shared screen. 

    • 8: Silence system notifications when sharing desktop – This ensures that pop-up notifications for new emails and messages will not appear when you are sharing your screen.  

    • 9: When I share my screen in a meeting – This will either display the menu of screen options or automatically what is on your desktop.

  • Chat 

    • These settings do not control the Zoom meeting chat function, but rather the separate chat option on the Zoom desktop app.

  • Background and Filters

    • 10: Virtual Backgrounds – This allows you to select a background that will hide the room behind you when video chatting.  

    • 11: Video Filters – This lets you choose accessories, such as hats and glasses, to appear on your camera image.  

    • 12: Studio effects – This allows to change how your eyebrows, facial hair, and lip color appears on your camera image.

  • Recording 

    • 13: Store my recording – This allows you to change where recordings are stored locally on your computer.

  • Profile 

    • 14: Edit My Profile – This takes you to zoom.illinois.edu to change any profile settings.

    • 15: View Advanced Features – This takes you to the settings page on illinois.zoom.us.

  • Keyboard Shortcuts

    • This allows you to turn on/off shortcuts for doing different things in Zoom.

  • Accessibility 

    • 16: Screen Reader Alerts – This allows you to select what you’re notified of during a Zoom meeting.
