ATLAS FormBuilder - Creating Guest Questions
When building an event registration form, it is often helpful to have registrants provide information on any guests they plan to bring with them. One of FormBuilder's question types, called "Guest", is designed to make this specific type of data collection easier.
By default, Guest questions ask the user to enter a number corresponding to their intended amount of guests. They can be set up to only provide this number field, or they may be set up to allow for the inclusion of sub-questions that ask for further information about each guest. Each sub-question will provide an additional field for every guest indicated by the initial number field.
To create a new guest question...
Step 1 - Navigate to the dashboard of your event registration form, and open the contents editing menu using either the Edit Form Contents button under Quick Links, or the Manage button in the Form Contents panel.
Step 2 - Select the phase containing the section to which you'd like to add a "Guest" question in the Global Settings panel (1). Next, select your desired section in the Form Preview panel (2), and click the Add Question button that appears in the Form Contents panel (3).
Step 3 - After giving your new question a name and adjusting any of its other settings, ensure that its Type is set to "Guest". Additional settings unique to the Guest question type will appear in the editing window. These additional settings are as follows:
- Guest Question Type: Determines the behavior and available functions of the Guest question.
- Count of Guests Only - The question will present a text field that accepts whole numbers, used for gathering each user's total amount of guests.
- Count of Guests with Additional Guest Details - In addition to presenting a main text field that accepts whole numbers, the question will also allow for the creation of sub-questions. Each sub-question will display a number of entry fields corresponding to the number entered into the question's main field.
- Count of Guests Only - The question will present a text field that accepts whole numbers, used for gathering each user's total amount of guests.
- Minimum Number of Guests per Attendee: Specifies the lowest value that the question's main numerical field will accept.
- Maximum Number of Guests per Attendee: Specifies the highest value that the question's main numerical field will accept.
- Include Number Count of Guests Toward Capacity of Event: When selected, the value of the question's main numerical field will be counted towards the form's maximum registrant limit (if applicable).
Step 4 - Once you have finished editing your question's settings, click the Save Changes button at the bottom of the window to finalize your changes.
If your question's Guest Question Type was set to "Count of Guests Only", your new Guest question is now ready to use, and you may skip the next steps!
Step 5 - If your question's Guest Question Type was set to "Count of Guests with Additional Guest Details", it may now be populated with sub-questions.
To accomplish this, select the question in the Form Preview panel. Along with the typical "Edit", "Copy", and "Delete" options provided for questions, additional options of "Paste Question" and "Add Question" will be available. These options can be used to create new sub-questions for the composite question or attach existing questions to it -- just as you would with a section.
As an additional similarity to sections, the display order of a Guest question's sub-questions may be rearranged. Once the Guest question has been populated with sub-questions, the Form Preview panel will gain another option, "Reorder Questions".
Clicking "Reorder Questions" will open the composite question's reordering menu. Sub-questions can be rearranged by clicking and dragging from the hamburger menu icon at the left of each entry, or by clicking the arrow buttons at the right of each entry. The highest entry in the list will be displayed as the leftmost sub-question in the Guest question's "table", while the lowest entry will be displayed as the rightmost sub-question. Click Save Changes at the bottom of the page to save the new order and return to the Form Contents page.
Step 5 - After you are finished creating your sub-questions or modifying any other settings, your Guest question will be fully ready to use!
