OneNote, Ways to Insert Files into Notes

On this page, you can learn how to insert files into notes as attachments, printouts, or by sending them to MS OneNote from another program.

There are three ways to insert a file into your notes: as an attachment, as a printout, or by sending it to OneNote from another program. Which is best depends on how you plan to use the file after you’ve inserted it.

Insert a file as an attachment

Attaching a file (such as a Microsoft Word document) to a page in OneNote places a copy of that file in your notes. The file appears as an icon that you can double-click to open and edit the contents of the file.

  1. In OneNote, click anywhere on the page where you want to insert a file.
  2. Click Insert > File Attachment.
  3. In the Choose a Document to Insert dialog box, click the file you want to attach, and then click Insert.
  4. If prompted for additional options, click Attach File.

Attached files are stored as part of their associated notebook. If you move a notebook to another location, any inserted files move with the notebook.

Insert a file as a printout

Attaching a file as a printout places a picture of its contents on a page in OneNote. You can’t edit printouts like regular notes, so they’re a good choice if you want to keep the original formatting.

  1. In OneNote, click anywhere on the page where you want to insert a file printout.
  2. Click Insert > File Printout.
  3. In the Choose a Document to Insert dialog box, click the file you want to attach, and then click Insert.

 TIP:    File printouts work just like inserted pictures. You can resize them and move them anywhere on the page.

Send a file to OneNote

You can insert Microsoft Word documents, Excel spreadsheets, PowerPoint presentations, or Internet Explorer Web pages into your notes by sending them to OneNote directly from any of these programs.

  1. Open the file you want to send to OneNote (for example, open a document in Microsoft Word).
  2. On your keyboard, press and hold the Windows Logo key, and then press N.
  3. In the Send to OneNote tool that appears, click Send to OneNote, or press D on your keyboard.
  4. In the Select Location in OneNote dialog box, click to select the page or section in the notebook where you want the file to appear. Clicking a section tab will create a new page for the file, whereas clicking an existing page will insert the file on that page.
