ATLAS FormBuilder - Introduction to Phases

This article explains phases and walks the user through the process of adding a new phase to a form.

The process and contents of a form are separated into "phases," which represent the process's distinct steps from beginning to end, or points in the process where the responsibility for the form changes hands.

There are three types of phases in FormBuilder:

  • Data Collection: This phase type denotes the starting point of your form, and will be the first (and often only) phase form responders will interact with. The majority of the questions asked by the form to collect the data it needs for future phases will be located here. Only one phase per form can be a Data Collection phase.

  • Review Approval: Phases with this type denote the "back-end" stages of the form that are typically presided over by form administrators or other kinds of reviewers. Reviews and approvals of previously-entered data usually take place here, though additional data collection from the reviewers themselves can appear in these phases as well.

  • Archive: This phase type is meant to serve as a final landing point for the form's process. It is often where a summary of the collected data and interactions from throughout each form response is stored. Only one phase per form can be an Archive phase.

All phases, regardless of type, customize and permit access to their contents using what are known as "phase permissions." Phase permissions allow for the selection of which of the form's sections will appear in each phase, and which users will be able to view or edit them. Without phase permissions, a phase will be unavailable to view for all users. While phase permissions determine the contents of each phase, "routing triggers" must be created in order to connect phases together and transition between them. For more information on routing triggers and how to set them up, visit ATLAS FormBuilder - Adding and Editing Routing Triggers.

New phases can be created and existing phases can be edited from the form's Phases menu. The Form Contents page also offers phase settings, albeit for the creation of new phases only. Details on creating or editing phases using the settings available on both pages can be found below...


Option A - Phases Menu (Creating and Editing)

Step 1 - Select Phases from the Data Collection and Form Lifecycle section on your form's dashboard.

Step 2 - To create a new phase, select + Add Phase in the header of the page's list of phases. To edit an existing phase, click the gear icon next to your desired phase, and select Edit Phase/Permissions from the dropdown menu that opens.

Step 3 -  A new panel will appear on the right-hand side of the screen. Within this panel's Settings tab, the new or existing phase's title and phase type can be modified.

Step 4 - Once you're finished making changes, click the panel's Save button.

Your new phase or modifications will now be present!

Option B - Form Contents Page (Creating Only)

Step 1 - Navigate to your form's dashboard and select Manage in the header of the Form Contents section.

Step 2 - At any point while editing your form's contents, a new phase can be added by clicking the Add Phase button in the page's "Global Settings section.

Step 3 - A window will open that allows for the assignment of the phase's name and phase type.

Once you are finished making changes, click the Save button to finish creating your new phase.

The page will automatically open to the new phase, and you'll be able to start editing its contents right away!
