Defense Preparations and Recommendations
  1. Start Early: 
    • Reserve at least 2–4 weeks in advance. These room can get especially during peak times during the fall and spring semesters.
      • Reserve the room for the day you plan to do your defense.
      • Reserve the room a few hours before your defense.
      • Reserve the room for additional day(s) (as many as you need to get comfortable) prior to do a dry run through to get acquainted with the room and it's A/V equipment.
  2. Choose the Right Room
    • Ensure the room is equipped with A/V technology (projector, microphones, Zoom capabilities, etc.).
    • Consider room size based on expected attendance (committee, guests, remote participants).
    • Look for accessibility features if needed.

  3. Coordinate with IT
    • Contact your IT support team to:
      • Schedule a tech check or dry run.
      • Ensure compatibility with your laptop or presentation device.
      • Questions about the A/V technology in the room
      • Confirm support availability during the defense.
  4. Use Official Channels

    • Include all relevant details: date, time, duration, and any special equipment needs.
  5. Confirm and Communicate
    • Once booked, confirm the reservation.
    • Share the room details with your committee and attendees.
    • Post signage if needed on the day of the defense.
