Transfer Outlook Quick Parts Between Windows Computers (Outlook Classic)

Move Quick Parts/AutoText from old computer to new computer when cloud sync isn't working

If when setting up a new computer a users' email Quick Parts or AutoTexts are not synced to the cloud and do not load when signing in this is how you can manually transfer or import email Quick Parts or AutoTexts in Outlook (Classic) between Windows computers.

  • Note: Quick Parts is a feature only available in the Classic version of Outlook, you cannot use the Quick Parts feature in Outlook (new)

Compatibility Notes:

  • Outlook Classic (2019, 2021, Office 365 Outlook (Classic mode))

Not Compatible With:

  • New Outlook for Windows 
  • Outlook Web App
  • Mobile Outlook apps 

Before You Start, You will need:

  • Access to old Windows computer with existing Quick Parts
  • Access to new Windows computer with Outlook (Classic) installed
  • USB drive
  • Approximately 10-15 minutes

Step 1: Verify Quick Parts Location on Old Computer

  1. Open Outlook (Classic)
  2. Create a New Email
  3. Click in the message body area
  4. Click Insert tab (top ribbon)
  5. Click Quick Parts (in Text section)

     6. Right-click any existing Quick Part

     7. Select "Organize and Delete..."

Verify template location

This will bring up the Building Blocks Organizer window, displaying where AutoText and Quick Parts are created

     8. Check the Template column

    • All Quick Parts should show "NormalEmail"

If any show different templates, follow the next stpes:

  • Click the Quick Part
  • Click Edit Properties...

In the Modify Building Block window, you can adjust and customize the properties of specific Quick Parts/AutoText created

  • Change "Save in:" to NormalEmail
  • Click OK
  • Click Yes for redefining the building block entry

Understand What You're Copying 

  • Quick Parts Storage: All Quick Parts are stored in a single file called "NormalEmail.dotm"
  • File Size: Usually 50-500 KB depending on number of Quick Parts 
  • Content: Contains all your custom Quick Parts, AutoText, and building block

Step 2: Export Template file from Old Computer

2.1 Locate the NormalEmail File

  1. Open File Explorer
  2. Click in the address bar or (Ctrl + L)
  3. Enter this path exactly:
    1. C:\Users\NetID\AppData\Roaming\Microsoft\Templates
    2. Enter the NetID of the user where NetID is in the file path
  4. Click Enter

  5. Right-click NormalEmail.dotm file

2.2 Backup and Copy File 

  1. Select Copy  (or press Ctrl+C)
  2. Insert USB drive 
  3. Navigate to USB drive  in File Explorer
  4. Paste  the file (Ctrl+V)
  5. Safely eject USB drive

Import the .dotm file to the new device

On the new device, make sure Outlook is not open or running

  • Open File Explorer

Enter the file path from the previous step

  • In the search bar enter this file path:
  • "C:\Users\NetID\AppData\Roaming\Microsoft\Templates"
    • Enter the NetID of the user where NetID is in the file path
    • Click Enter

Either paste the NormalEmail.dotm file or drag and drop the file into the Templates folder

Verify that quick parts appear in Outlook

Verify:

  • Quick Parts appears correctly
  • Quick Parts works in replies
  • Quick Parts maintains formatting
  • Quick Parts intact on receive

Create a new email

  1. Open Outlook (Classic) on your Windows computer

  2. Click New Email to create a blank message

  3. Click inside the message body area

  4. Go to the Insert tab in the message window ribbon

  5. Click Quick Parts (located within the Text group)

Reply to email

  1. Open Outlook (Classic) on your Windows computer

  2. Click a received email in Inbox

  3. Click Reply
  4. Click inside the message body area

  5. Go to the Insert tab in the message window ribbon
  6. Click Quick Parts (located within the Text group)
