Zoom AI Companion - Enabling Features
Beginning December 20, 2024, the AI Companion functionality was enabled for University Zoom Accounts
In order to begin using the functionality, there are some settings that need to be enabled on individual accounts. You will need to log in to your Zoom account at https://illinois.zoom.us to enable these settings.
Once you are logged into your account, choose Settings on the left side of the screen. AI Companion will be the first tab.
Some of the first AI Companion settings will show Locked by Admin. This indicates they are enabled by our Zoom administration. Scroll through to the settings that have the option to Enable.
Allow Users to ask AI Companion questions about the meeting.
This feature will allow participants in a meeting to ask questions to AI Companion during a meeting. The answers will be based on the transcript of the meeting. Some sample questions that can be asked include:
- Catch me up on the meeting
- Was my name mentioned before I joined?
Enable the feature by sliding the toggle to the right so that it becomes blue. You will see additional options that can be enabled or choices selected.
- Automatically allow access when the meeting starts. If this is not enabled (checked), the Host will need to start the AI Companion to allow questions to be asked.
- Share access lets you choose who will have access to ask questions.
Meeting Summary with AI Companion
Enabling this feature will send an email to the host with an AI generated summary of the meeting. This will include topics discussed, next steps, and other information discussed in the meeting.
Enable the option by sliding the toggle to the right.
The first choice will determine whether this feature will be enabled at the start of each meeting. If this is not enabled, the host will need to manually start the meeting summary.
You can choose whether to include the summary text in the email or just notify the summary is available. Meeting summaries can also be accessed when logged into your online Zoom account by choosing Summaries on the left menu.
The last option allows you to choose who will receive the summary. The recommendation would be start with the host to allow review/editing before it is sent to others.
Using Meeting Chat Messages
This option would enable chat messages to Everyone in the Chat Box to be searched for AI Companion functions. If this is enabled, when someone asks a question of AI Companion, chat messages would be searched as well as the transcript.
Smart Recordings
This option will enable Cloud Recordings to be Smart recordings and have highlights, smart chapters, next steps and meeting coach similar to the emailed meeting summary. This does not affect recordings to your computer.
