Always apply the most accurate code to reflect each applicant’s outcome. Proper use ensures compliance, transparency, and accurate reporting.

Academic Professional & Faculty Disposition Codes
Code When to Use
Lacks Minimum Qualifications The applicant does not meet the required education, experience, certifications, and/or skills.
Lacks Preferred Qualifications The applicant meets minimum qualifications but does not possess the desired education, experience, certifications, and/or skills.
Late Submission (Faculty soft close) The application was submitted after the soft close date.
Missing Documents/Incomplete Application Required materials (resume, cover letter, certifications, licenses, references, etc.) were not provided.

Code When to Use
Declined Interview The applicant was invited but declined to interview.
Declined Offer The applicant received an offer but declined.
No Response/No Show The applicant was invited to interview, but did not respond or attend.
Not Hired: Semi-finalist Applicant interviewed before the final round; reason for non-selection must be documented in the Hire from Search form. (Anyone on the referral list is considered a semi-finalist.)
Not Hired: Finalist The applicant participated in the final interview round; the reason for nonselection must be documented in the Hire from Search form. (Anyone interviewed in the last round prior to selection is a finalist.)
Qualified, Not Referred Applicant met minimum qualifications but was never interviewed; use for the remaining Ready for Referral candidates.
Search Closed Without Hire Use only if no hire is made for the requisition; assign this code to all applicants.
Voluntary Withdrawal Applicant chooses to withdraw from consideration but does not withdraw through their Cornerstone account. (The system will send an automated withdrawal confirmation to the applicant.)

Not for Department Use (IHR Only)

IHR Only Disposition Codes
Code When to Use
Closed as Duplicate Used when merging duplicate applicant records.
Credential Assessment Complete Reserved for biannual Crafts & Trades credential reviews.
Moved to Another Requisition Used when requisition errors require a candidate to be reassigned.
Pre-screening Completed Reserved for IHR administrative purposes.
System Update Used to correct system-related integration errors.
Ineligible Used when an applicant applies to a posting in error (e.g., restoral, transfer, or layoff requisitions requiring a search waiver).
