ATLAS FormBuilder - Creating a Phase Permission

This document describes how to create a new phase permission for a FormBuilder form.

Phase permissions determine which sections are a form are available in each phase, and which users are allowed to access them. If a phase has no phase permissions, it will be entirely inaccessible. Thus, each new phase created for a form must be populated with phase permissions before it can be put to use.

To create a new phase permission...

Step 1 - Navigate to your form's dashboard and select View/Edit Phases in the Quick Links section OR select Phases under the Data Collection and Form Lifecycle header.

Step 2 - Locate the phase to which you'd like to add a new phase permission. Click the gear icon next to that phase to open its dropdown options menu.

Select the gear icon associated with the phase you wish to add Phase Permissions to. This will open a drop-down menu. Select Edit Phase/Permissions.

Step 3 - A new section will appear on the right side of the page, containing two tabs. Click the rightmost tab, labeled Permissions.

All phase permissions that currently exist in the selected phase will be displayed. Click the + Add Permission button at the top of the section.

Step 4 - The phase permission editing window will open, containing several settings that determine the permission's properties and behavior. The available settings are as follows:

  1. Users
    • The users that the phase permission represents. Users available for selection include general users (the response submitter or anonymous users), the members of any security groups in the current form group, users defined by any of the form's membership providers (if applicable), users defined by the answer to any of the form's Person or signature-type questions, and users defined by the FormBuilder webservice.

      A single phase permission can include as many users or groups of users as desired. Note that Anonymous Users includes any users that are not logged in.

  2. Period Restriction
    • Determines if the phase permission still functions for its selected users if their form responses were created outside of the current period. Leaving the checkbox unchecked will cause the phase permission to automatically become inactive once the period of the associated form response elapses.

  3. Permission Level
    • Determines if the phase permission allows for the viewing, or viewing AND editing of the selected sessions.

  4. Specific Sections
    • The form sections that the phase permission will display to its selected users. Multiple sections can be selected at once. If no sections are selected, the phase permission will display all of the form's available sections.

  5. Additional Filtering

Once you are finishing making changes to the phase permission, click the OK button at the bottom of the window, and then click the green Save button in the selected phase's editing window to save your changes.

Your new phase permission will now be ready to use!
