Scantron Results - Uploading and Distributing Test Results
Before You Begin...
Faculty members may only upload Scantron test results for a course on Scantron Results if they are listed as an instructor for said course on Banner.
If this applies to you, and you would like to upload the results of a Scantron test, you must first obtain your exam's text-based report file from CITL (Center for Innovation in Teaching and Learning) before you begin the upload process. CITL can be reached for this purpose at: https://citl.illinois.edu/citl-101/measurement-evaluation/exam-scoring
Uploading Your Test Results
Once you are ready to upload your test's report, log in to Scantron Results, and click the button labeled + Upload New Results at the top of the Instructor Home.
On the new page, you will be asked to enter the term, course identifier, and section number of the course your exam took place in. You will also need to enter the name of your exam, and choose your exam's Scantron report file from your computer.
Once you have checked that your information and selected file are correct, click the Process File button at the bottom of the page.
The app will process your test's report, attempting to locate pages that contain an individual student's results, verifying those results, and separating them out.
You will then be shown a summary of the processing. You will be told how many individual student records were detected (in the below example, 79 student records were found), how many were successfully processed, and how many "unknown results" there were.
Unknown results are student records that the application could not properly scan and match up with a person currently existing in the campus database. This often means that the student's NetID was entered incorrectly, or that the NetID no longer exists, if the test results are old.
To view the previews of each unmatched record, click the red text reading "show unmatched records," and the previews will display on the page.
You may correct any unmatched records in the report file and start the upload process again, if desired, but this must be done outside of the Scantron Results application.
Once you are satisfied with the processed results, click the green Save Results button at the bottom of the page.
Your test report file will be "separated" (more on this later), and you will be taken to the Upload Complete screen. Your Scantron results will have been successfully uploaded to the system! Now comes the next step...
Distributing Your Test Results
Once on the Upload Complete page, your screen should look something like this:
There will be three links available to view (indicated above with blue markers):
- A url link that students can use view their individual test results
- A link to the original report file
- A download link for a compilation of the report file's unmatched results
This first link is the most important. When your report file was "separated" during the uploading process, this special link was created, which allows each student that visits it to download a PDF of their individual results page, and only their individual results page. This single URL can be shared with your entire class without worry of students being able to view each others' records.
Scantron Results does not send out emails or otherwise automatically notify students whose records were detected in the results file. It is your responsibility to share this link with your students.
If for some reason this link does not work for a student, they may log onto Scantron Results themselves, find your exam in the list of tests they have results for, and click on the test's name to download the same personalized PDF file.
