ATLAS FormBuilder - Adding and Editing Event Sessions

This document explains how to create new event sessions and edit the attributes of existing event sessions (title, max registrants, registration start/end dates, etc.) within a FormBuilder event registration form.

Event sessions are features of FormBuilder's event registration forms that are used when multiple classifications of registration are needed. If you're creating a registration form for a convention, you might create different event sessions for each of the convention's various panels. If your event registration form is for a private event with multiple tiers of tickets, you might make an event session for each ticket type.

Event sessions are unique to each period of an event registration form, and are organized into event session categories. A form must have at least one event session category before new event sessions can be created within its periods, and all event sessions must be associated with an event session category. For information on how to create event session categories for your form, visit ATLAS FormBuilder - Event Session Categories.

Event sessions are only available in event registration forms. Information on converting an existing standard form into an event registration form can be found at ATLAS FormBuilder - Converting Between Standard & Event Registration Forms.

To create a new event session or edit an existing one...

Step 1 - Navigate to your event registration form's dashboard and click Periods inside the "Security and Form Lifecycle" section.

The dashboard of a form. The "Periods" link is highlighted.

Step 2 - Click the Edit Sessions button next to the period you wish to create an event session for, or which contains the session you wish to edit.

The "Periods" menu of a form. The "Edit Sessions" button in the "Event Sessions" column of the first period in the list is highlighted.

Step 3 - To create a new event session, click + Add New Session in the header of the desired event session category. To edit an event session, click the Edit button next to your desired event session.

The Event Sessions page of a form's period. The "Add New Session" option in an event session category header is highlighted, as is the "Edit" button next to an existing event session.

Step 4 - A window will pop up that contains all of the session's editable properties. The only property that must be provided is the Title.

The attributes available to edit are:

  • Title: The session title displayed to the user.

  • Field Name: Acts as a variable value or "second name" for the session. Giving event sessions the same field name across multiple periods allows them to be linked for use in routing triggers and/or phase permissions.

  • Description: The description of the session. Displays underneath the session title when the user is selecting an event session.

  • Archived: Checking this box will remove the event session as an option for selection in Event Session questions. Unchecking the box will allow the session to be selected once more.

  • Maximum Registrants: The maximum number of registrations allowed for this specific event session. Independent from the maximum registrants allowed for the greater period. Leave blank to disable registration limit.

  • Registration Start Date: The earliest time and date at which registrations for this specific event session will be allowed. Leaving blank allows the session to be registered for as early as possible.

  • Registration End Date: The time and date after which no registrations for this specific event session can be made. Leaving blank sets no deadline for the session's registrations.

Step 5 - Once you are finished making changes, click Save at the bottom of the window.

The edit window of an event session. An arrow points to the "Save" button.

Your new or newly-edited event session will now be ready to use!
