Microsoft 365, Microsoft Teams Audio Conferencing and PIN

This article details how to use audio conferencing features for Microsoft Teams, including scheduling a meeting and changing your PIN.

Scheduling a meeting

Microsoft Teams meeting organizers who have a Microsoft 365 A5 license (Microsoft 365 Licensing) will have audio conferencing added to their Teams meetings beginning on March 21, 2022. This will allow meeting participants to join a meeting by phone by dialing the audio conferencing number and entering the conference ID.  The calendar event will provide the conferencing details as shown below:

Managing your PIN

Your Teams Audio Conferencing PIN

A PIN is a code made up of numbers that is created for each Microsoft Teams user who is enabled for audio conferencing. Audio conferencing PINs are used by meeting organizers to identify that they are the meeting organizer and allow them to start a meeting over the phone. If they use the Microsoft Teams app to start the meeting, a PIN isn't required. If users forget their PIN and they can't find it in the email that was sent to them when they were enabled for audio conferencing, an administrator can reset their PIN, or they can reset their own PIN.

Meetings can be started when an authenticated user joins using the Microsoft Teams app or when the organizer joins with their PIN over the phone. When a meeting requires a PIN to start, users who join over the phone will be placed in the lobby and will listen to music on hold until the organizer admits them. If the organizer of a meeting doesn't require a PIN to start the meeting over the phone, then callers won't be asked to provide a PIN when they join the meeting.

When audio conferencing is enabled on your account, you will receive an email from Microsoft that looks like the image below. You need to save your audio conferencing PIN in a secure location. A PIN is required when a meeting organizer starts a meeting by phone.

Resetting Your PIN

You can reset your PIN by visiting User Settings Portal (microsoft.com). Click on the “Reset PIN” button and Microsoft will create a new PIN for you to use.

You've Received an automated email saying your Audio Conferencing has been Disabled

If your employment has changed within the University that effects your Office Licensing such as a change from A1 to A5, your account temporarily loses its audio conferencing capabilities during the switch which causes Microsoft to send you an automated email every time. There is no way to disable the sending of this automated email.
