Illinois IT Service Catalog, Contributing to the campus IT service catalog

If you or your department would like to contribute content to the Campus Service Catalog hosted by Technology Services, this page provides guidance on getting started and contributing your service information.

Technology Services hosts the Illinois  IT service catalog at that offers information to campus about IT-related services provided. This catalog can provide views of specific departments' services (for contributing departments including Tech Services), or all provided services.

Becoming a contributor

If your department would like to have its own space in the Illinois IT Service Catalog, send email to Please include:
  • Your department name
  • The person who should be the primary contact point for conversations about your section of the service catalog
  • A person who can work with us to create an Active Directory group for your department's editors
  • Whether or not you have an existing list of department services, and if so, what form it's in
We'll get in touch with you about creating a space, assigning permissions, creating content, and working with the catalog.

Note: In the interval between getting set up with an account and publishing your first service pages, the public filter for your unit (the checkbox that lets people display results by organization) will return 0 results until your first pages are published. If this is something you'd like to avoid, let us know and we can work out your preferred timing together. 

Adding a new service's information

After we've worked with you to set up your section of the service catalog, you can contribute new service information: 
  1. Click the Service Login link at the bottom of any page on
  2. Click Add Content in the top left corner.
  3. Choose the Service content type.
The layout of the tabs in the editor interface follows the flow of the rendered "detailed information" page as much as possible, and suggestions are embedded in the editor interface. 

Required fields where you must make a deliberate entry include:
  • Title
  • About This Service: Unit(s) providing the service - your unit at a minimum; others can be selected as collaborators
  • About This Service: Description for public display
  • About This Service: Web categories (web categories are used to feed the Research IT portal; page banners are optional)
  • (Highly recommended:) About This Service: Documentation links
  • About This Service: Why to use this service
  • Hours and Support: When can I get help? 
Some other fields must also have text in them, but default text is available and a service can be saved without changing the other required fields.

Updating existing service information

If you need to update existing information about a service:
  1. Click the Service Login link at the bottom of any page on
  2. Navigate to the page of the service you want to edit.
  3. Click the Edit tab below the headline but above the body text.
  4. Make your changes.
  5. When you're finished editing, creating a new revision is preferred (and may in many cases be enforced).
It is recommended to review your service catalog information at least annually.

Reviewing service information before publishing

You can share unpublished drafts with other members of your departmental team as defined by their membership in the Active Directory group you use for access control. Any member of your team will be able to create new services, review existing services, or move services from the draft state to the published state.

Unpublishing a retired service

You can use the Unpublished state to remove a service from the public view of the catalog. An unpublished service will not be visible in external views for people who are not logged in to the system. However, you'll still be able to see it when you've logged in, and it will show up in alphabetical lists while you're logged in for later ease of access.

Custom views of your department's data or all public data

While everyone can view the pages created by the Tech Services website, you may wish to have custom views of your data available for your department's use. 

Tech Services is happy to work with you to create JSON and XML views of data that you can place in your own websites or CSV views that you can download for use with Excel. We can also create filtered results such as "services available to undergraduates and graduates" or "services available to guests" or "services available only to members of this department".
