How to scan documents to email and USB on a printer/scanner.

Scanning on Optimus (501 building) and Charon (614 building) is free and does not require a login.
PS: Staff and faculty may also scan from Titan (614 building) and Winnie (501 building).

Scanning to USB

How to Scan to USB on Optimus

  1. If you are scanning loose pages: Place them in a neat stack in the feeder tray on top of the scanner.

  2. If you are scanning a book: place it at the scanner bed.

  3. From the home screen, select Scan to USB.
  4. Plug in the USB in the port to the left side of the touch screen.

  5. Common settings you may wish to adjust:
    • 2-Sided Scanning: Select whether your original documents are 1-sided or 2-sided.
    • Original Type: If you are scanning a large number of pages with just text and no images, it is recommended you set this setting to Text. This will make your scan take up less storage space and will result in it being saved and sent to you more quickly. This can be particularly helpful for very large scans. 
    • Lighten/Darken: Scans of handwritten text can often come out faded, so darkening the image may make it clearer.
  6. If you are using the scanner bed:
    1. If you are scanning a single page, simply press the button in the upper-right corner of the screen that says Scan.
    2. If you are scanning multiple pages into the same file, select Build Job, then select On. Press Scan.
    3. When the page has finished scanning, place the next page you would like to scan face down on the bed and press Scan next segment. Repeat until you have scanned all of the pages and then press Submit. It may take a few minutes for your scan to send if you are scanning many pages or lots of images. 

  7. Wait for it to to finish processing.
  8. You will see a message that the job is complete, and then you can remove the drive when the popup closes and you're back to the Home page of the touch screen.
  9. Don't forget to remove the USB when finished!


PS: The scan is going to be one document. If you want to scan different documents, you should do the procedure from start to end for each document.

How to Scan to USB on Titan or Charon

  1. Insert your USB drive into the USB port on the left side of the control panel.

  2. Select Print/Scan (Memory Storage Device) on the control panel screen.

  3. Select Scan to Storage Device. On the next screen, select USB.
  4. On the next screen, you can prepare your scan settings by selecting the Scan Settings option at the top. On the settings screen, you can adjust many useful settings such as black &white/color, two sided scanning, file name and type, and more.

  5. If you are scanning multiple loose pages:
    1. Place your pages in a stack face-up in the feeder tray.
    2. If your pages are double-sided, press the Settings button and select Original Settings. Select 2 Sided Open Rt/Lft for pages that flip along the long edge, or 2 Sided Open to Top for pages that flip along the short edge.

    3. Press the green Start button in the lower-right corner of the control panel screen.
  6. If you are scanning a book:
    1. Open the book to the page you want to scan and place it face down on the scanner bed.
    2. Press the green Scan button in the lower-right corner of the control panel screen.
    3. To scan additional pages, open the scanner bed, open to the next page, and put the book back on the scanner bed. Then, select Scan Next Original. Repeat until you have scanned all the desired pages. Then, select Finish.
  7. When you are finished, a message will come up that says "Saving to storage device." Wait for it to finish. When this message clears, select the USB icon in the lower left side of the screen, then press OK. The USB drive can now be safely removed.
  8. Press the house icon at the bottom of the screen to return to the home screen.

Scanning to Email

How to Scan to Email on Optimus

  1. If you are scanning loose pages: place all pages you will scan to a document in a neat stack into the top feeder tray.

     

  2. If you are scanning a book: place it at the scanner bed.

  3. From the home screen, select Email.

  4. Select Add Recipient, then select Manual Entry and type in the email address.

  5. Common settings you may wish to adjust:
    • 2-Sided Scanning: Select whether your original documents are 1-sided or 2-sided.
    • Original Type: If you are scanning a large number of pages with just text and no images, it is recommended you set this setting to Text. This will make your scan take up less storage space and will result in it being saved and sent to you more quickly. This can be particularly helpful for very large scans. 
    • Lighten/Darken: Scans of handwritten text can often come out faded, so darkening the image may make it clearer.
  6. If you are using the scanner bed:
    1. If you are scanning a single page, simply press the button in the upper-right corner of the screen that says Scan.

  7. Don't forget to restart the job so your email won't be there!



PS: The scan is going to be one document. If you want to scan different documents, you should do the procedure from start to end for each document.

How to Scan to Email on Titan or Charon

  1. On the home screen, select Scanner.

  2. On the Scanning screen, select the green button near the top that says Specify destination(s). This will open a menu with several contacts options. Select Enter Using Keyboard. Type in your email on the virtual keyboard that opens and press Done (on the right side of the keyboard, where the Enter or Return button would be).
  3. On the right side of the screen, above the green Scan button, you will see a number of scanning settings options, including black and white or color, one or two-sided, and others. The Send Settings will open up more options like these. Adjust these settings as necessary for your documents.
  4. If you are scanning multiple loose pages:
    1. Place your pages in a stack face-up in the feeder tray.
    2. If your pages are double-sided, press the 1 Sided Original button among the setting on the right. On the following screen, select 2 Sided Open Rt/Lft for pages that flip along the long edge or 2 Sided Open to Top for pages that flip along the short side and press the green Scan button in the lower-right corner of the control panel screen.
    3. Press the green Start button at the lower right.
  5. If you are scanning a book:
    1. Open the book to the page you want to scan and place it face down on the scanner bed.
    2. Press the green Start button in the lower-right corner of the control panel screen.
    3. After the first scan, a blue banner will appear at the top of the screen. if you would like to scan more pages into you document, open the book to the desired pages, place the book back on the scanner bed and close the lid, and select the green Start button. When you have finished scanning all your pages, you can press Finish Scn on the blue banner at the top of the page.

  6. When you are finished, a message will appear on the screen that says "Scanning finished." An email will be sent shortly to the address you provided in step 2 with your scanned documents included as an attachment.
  7. Press the House Icon at the bottom of the screen to return to the home page.
