KB User's Guide - Stats Tab - Overview of Links
The Stats tab gives a quick overview of vital statistics related to KnowledgeBase (KB) documents and news items. Admin permissions are required to see the Stats tab. Please contact your KB Admin if you do not see the Stats tab on your view of the KB Admin Tools.
Access to the Stats Tab
Not all KB users have access to view your document stats, only users who have the Stats Tab enabled. The image below shows an enabled Stats Tab in the User Permissions. Please refer to this document for more details on User Permissions.
Excluding Groups from Stats Output
If you would like to exclude a specific KB Group Space from your stats and reporting, simply click on the group name and it will be grayed out immediately. To exclude multiple groups, hold down the command button + click on the group spaces.
The image below shows three KB group spaces grayed out and subsequently excluded from the Doc views by group usage statistics. The KB Team has added red arrows to the image to illustrate precisely which KB Group Spaces were grayed out and excluded from the count.
Stats on Your KB Content
The data in the Stats tab includes documents that your group has:
- created (we also refer to this content is documents you own)
- documents that are shared with your KB space which results in content from another KB space being visible on your KB Live site.
To determine your total number of KB documents, go to the KB Admin Tools > Tab > Active Documents link. The image below shows all the default filter settings of the KB Demo site. If you look at the Group filter, you will see it defaults to All groups which includes YOUR OWN KB group in addition to all other groups who have shared content into your KB Group. The red arrow shows there are 354 documents total in the KB Demo space viewable on the Live Site.
The image below shows This Group selected from the Groups filter. The red arrow shows there are 252 documents total that are owned by the KB Demo space viewable on the Live Site. To see how many documents are shared into your KB space, select Other groups from the Group filter dropdown menu.
Doc Counts by Institution
This link shows the total number of documents in each Institution KB site. You may also select from the dropdown menu to see the:
- number of active documents that the Institution owns
- number of active docs available to an institution (e.g. docs owned by the Institution and shared with the Institution)
The image shows live data of the document count by institution. If you hover over a specific color in the ring, the corresponding institution becomes highlighted. The image below shows the cursor hovering over the University of Illinois. It also shows the exact document count and the percentage of the whole.
Doc Counts by Group
This link shows the number of documents in each Institution subsite. The table lists the number of documents:
- Active (Active documents owned by this group and documents shared in from other KB spaces)
- ActiveOwned (Only Active documents that are owned by this KB space).
- InReview
- InProgress
- Inactive
- Trash
You may also sort these documents by
- Total number of docs a group owns
- Number of Active docs a group owns
- Number of Active docs available to a group
The image shows live data of the document count by group. If you hover over a specific color in the ring, the corresponding KB space becomes highlighted. The image below shows the cursor hovering over the Campus and Visitor Relations KB space. It also shows the exact document count and the percentage of the whole.
Doc Count by Owner
This link lists the document Owner names along with the number of documents that person owns. You may sort this list by document status: Active, InProgress, InReview etc.
The image shows live data of the document count by owner. If you hover over a specific color in the ring, the corresponding document owner becomes highlighted. The image below shows the cursor hovering over the purple space. It also shows the owner's name, the exact document count and the percentage of the whole.
Doc Views by Institution
This view defaults to the current year's document views (example: July 2016 through July 2017 Combined (Internal and External Site) views). The table below the diagram lists the date range and lists out the Internal, External and Combined Views.
The image shows live data of the document count by group. If you hover over a specific color in the ring, the corresponding KB institution becomes highlighted. The image below shows the cursor hovering over the UW Green Bay KB space. It also shows the exact document views and the percentage of the whole.
Doc Views by Group
This view defaults to your institution and the current year. The table below the diagram lists the KB group name and the live data of the number of document views per month.

Doc Views This Group
This link lists the document views broken down by Internal views, External views and Combined views. The filters allow you to search by:
- IDs
- Topics
- Search Priority
- Type (Document / Glossary/ Template)
- Start month
- End month
The image shows live data of the document views of a specific KB Group. If you hover over a month, a table will appear listing the document views for that specific month. If you hover over a specific view (example: ExternalViews), the line for only external site views will show. The table underneath the image displays a calendar year of data.

Doc Views All Groups
This link shows the number of times a document was viewed in each KB group by month for a calendar year. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.
The image below shows the cursor hovering over the November 2016. A table appears and lists the exact number of document views for All Groups delineated by internal, external or combined.
Doc Views Last/ This Week
This link shows the number times a document was viewed during the past week and this week. It lists the number of internal and external views as well as the total number of views (Group) and the percentage of total views. From the Group dropdown menu, you may see Doc Views from other KB Groups to which you have access.

Doc Views by Doc
This link shows the number of times each individual document in a given KB group was viewed. Only documents for the currently selected KB Group are listed. If both internal and external sites exist, the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu. This view defaults to viewing the first 25 documents of the current year. You may search by specific document ID or topic.
Doc Views by User (via Internal Site only)
This link shows the Document Title of the last 25 documents viewed on a specific KB site. Individual IP addresses or an IP address range can be viewed by entering an address in the User IP field. The page limit can be extended to 20,000 and be exported as a .CSV file. More detail can be found in KB User's Guide - Stats Tab - Document Views by User.
Doc Helpfulness Sum
The counts listed on this page are based on customer feedback of helpful and unhelpful ratings. This table shows the number of times customers have answered that question. Counts are broken out for each document by month for a specified year. Results are for all docs with Helpfulness data for the selected KB Group. You may search by specific Document ID or title.
Docs Helpfulness Log
The results on the Document Helpfulness Log screen lists each individual helpfulness vote and information on "when," "from where," and "by who." You may filter by Document ID, user, user IP address, Internal/ External site documents, year, and sort. More information on the docs by helpfulness feature can be found here.
Doc Events
This form of reporting is based on the Comments and Events log found on each document. There are many options you may report on in regards to the upkeep of your KB space; number of documents updated over the course of a year, or month to month. This data is exportable via CSV. For more details, please see KB User's Guide - Stats Tab - Doc Events.
Doc Upkeep All Groups
This link shows the number of times a news item was viewed in each KB group by month for a calendar year. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.

Views by News Items
This page shows the number of times each individual news item in a given KB group has was viewed. Only news items for the currently selected KB Group are listed. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu. You may also enter a specific NewsID.
Search Log
The Search Log link allows administrators to browse through customer searches. The Search Log records both successful searches (represented in green text) and failed searches (represented in red text). Analyzing failed customer searches may help you identify the need to create new documents or revise existing documents. Additionally, these Failed Searches logs may help identify the need for new or expanded keywords.
You many query the search log entries by group, age, site and several other options. Due to the high volume of customer searches, the table that stores the search log is flushed every six month.
Top Searches
The Top Searches link defaults to displaying the top 25 top keyword searches in a Word Cloud a well as in a table. You can further narrow your search by adjusting the dropdown filters on the top of the page. Sort by Type; failed and/or successful. Sort by Site: Internal and/or External. Sort by year, present year or as far back as 2014. Save your findings in a *.CSV document, if you wish.
Blog Entries
The Blog Entries table displays all blog entries per document. For more information on enabling the blog feature, refer to this document. You may view the entire blog entry and you may also delete the entry from this screen.
Synonyms
The Synonyms link allows administrators to view synonyms currently in use, whether single word or multi-word/ phrase synonyms. The Synonyms page will display the first 25 synonyms and help when defining keywords for documents. Synonyms can be used for commonly misspelled words or alternate spellings of common terms. You can search for Synonyms using the Find field. Adjust the page limit to display synonyms. Finally, you may save your search as a .CSV file for export. Contact kb-team @ lists.wisc.edu to request additional synonyms.
Noise Words
Upon clicking on this link, you will be presented with a list of noise words that are ignored in KB searches. Contact kb-team @ lists.wisc.edu to request additional Noise Words to be added.
