Shared Services

Aiming to reduce expenditures and increase efficiency without compromising quality and scope of service, the three central campus IT units (UIC, UIS, UIUC) and University Administrative IT (AITS) partnered in several joint initiatives to provide Shared Services for the university community. These Shared Services include online professional training, cloud data storage and online collaboration workspaces, website hosting, data center facilities, discounted software distribution, and business process improvement.

IBM Endpoint Management  (IEM) 


Initiative to reduce operational costs for supporting campus desktop, laptop, and mobile computing devices. It provides secure updates, patch management, logging, inventory maintenance, and overall quick remediation abilities for IT Professionals. Includes automated and integrated tools to reduce the effort required to manage and secure desktop computers. There are currently two primary systems at the University of Illinois for endpoint management: IBM BigFix, also known as IBM Endpoint Management (IEM), and Microsoft System Center Configuration Manager (SCCM). Together, both are offered across the campuses and UA as an EPM solution.

Identity and Access Management (IAM)


Initiative aims to increase user-convenience by simplifying the sign-on process with a single ID and single sign-on requirement for all university resources, improve security and compliance, and focus on shared services across the university. The project streamlines the management of IDs for external collaborators to access university resources, such as research data and tools. The resulting improvements in security and compliance and strengthened infrastructure will bring the university closer into ‘federation’ with other institutions and federal funding agencies, which will enable faculty and researchers to have better access to other institutions’ resources.

Lynda.com


Online training tool that provides valuable training on software tools, designs, and business and professional skills through high-quality instructional videos taught by industry experts. All courses in the library such as Excel Pivot Tables in Depth, OneNote Essential Training, SharePoint Essential Training, Project Management Fundamentals, Leading Productive Meetings, and Time Management Fundamentals, are freely available to all university employees and students.

SharePoint


A multi-tenant collaboration and document management system being utilized by units and teams across the university to: 1) discuss ideas and review documents or proposals; 2) share information and keep in touch with other people; 3) build collaborative environments; 4) coordinate projects, calendars, and schedules; and, 5) automate and streamline educational and business processes. AITS has experienced a steadily increasing demand for the SharePoint collaboration platform.

Box.com (U of I Box)


U of I Box is the University of Illinois' instance of leading online cloud content service, Box.com. U of I Box will provide content management services, mobile access to files, online collaboration workspaces, FTP, and general document management to U of I students, faculty, and staff with a high degree of functionality across multiple desktop and mobile platforms.

WebStore


The WebStore provides a centralize location for the entire University to obtain (free or fee based) site/volume-license software. Many products are provided electronically and payments are electronically processed through credit card or University banner accounts. The WebStore ensures site/volume license terms and conditions compliance through electronic authentication and EULA requirements. Site-licenses not only lower overall costs but allow the University to standardize on specific applications which facilitates communication and overall efficiency. Title availability is based on campus affiliation.
