Email Alias Creation Process

PROCESS DOCUMENT: This provides instructions for creating an email alias.

Requirements for an email alias:

  • name or NetID of UIC faculty or staff person who will be the owner of the alias

  • name for email alias (3-15 characters in length; letters, numbers, underscores, and hyphens only)

  • e-mail address that is to receive mail addressed to the alias

If any of the above information is missing, then use RTFM Article #83.


**Check to make sure desired alias name is available**

Look up desired alias name in csomenu. If available, you’ll see: *** Person not found***.


Update Ticket Details:


Subject Line: Email Alias Requested/Created - Alias Name (Date)

Case Type: email alias

Classification: Request

Service: Identity and Access Management


Make certain to take ownership of the ticket


**Please note: only update ticket details as shown above in RT. Do not reply directly to the ticket. There will be instructions for updating the Customer Contact Form (CCF) later, once the alias is created.


Creation process:

  1. Make sure the owner is eligible (permanent employee).

    1. If eligible, please continue to step 2.

    2. If not eligible, do not continue creation process. Complete step b under Update CCF.

  2. Pull up owner’s netid in menu

  3. Go to: 4) netids and mail

  4. Enter

  5. Go to: 1) Make an alternate netid

  6. Enter

  7. Enter desired alias name in the “new netid” field (do not add ‘@uic.edu’)

  8. Enter desired email address to which the alias will be routed in the “email address” field (exp: qhaynes@uic.edu or qhaynes@gmail.com)

  9. “Owner-type” field leave default “D” (email aliases are always departemental)

  10. In the “List of secondary owners, if owner-type=D:” field, list netids only if given. Only UIC netids can be entered in this field. Personal email addresses cannot be used as secondary netids. Separate netids with a comma.  

  11. In the “Owner can update routing:” field, leave the default answer, “Y”

  12. In the “Netid type:” field, leave the default answer, “V”   

  13. DO NOT enter anything in the “Set netid expiration date:” field

  14. Double check everything for accuracy

  15. Go to: “Submit” and press the enter button


Once the alias is created, reply to the client with article# 131 and resolve the ticket.


Update Customer Contact Form (CCF)


  1. If Eligible

  1. Open CCF
  2. Enter the following under, “Customer & Consultant Information”:
    • Customer Netid
    • Name
    • Alt-Email (Optional)
    • Phone Number (Optional)
    • Shift: Problem
    • Contact Type: RT
  3. Enter the following under, “Interaction Information”:
    • Click “Existing Ticket” button
    • Service: Identity and Access Management
    • Ticket #: Enter the ticket number from RT
    • CC: Enter complete email address (if needed or requested)
    • Action Taken: Resolved
    • Comments: Article #131. Please include a greeting above at the close of attached article. (EXAMPLE: “Hello, ”,  “Kind regards”) The following departmental account, database, or alias was recently created at your request or transferred to your ownership: Please note: there is no option to attach an article in the CCF directly. Therefore, pull up the article in RT first then copy and paste the article in the CCF form in the “Comments” section. DO NOT send/ update the article directly in RT.
  4. Enter the following under, “Additional Information”:
    • Service: Helpdesk Services
    • Case Type? (Specific topics that the consultant is performing): Email Alias Creation
    • Classification: Request
  5. Click, “SUBMIT” button


  1. If Not Eligible

  1. Open CCF
  2. Enter the following under, “Customer & Consultant Information”:
    • Customer Netid
    • Name
    • Alt-Email (Optional)
    • Phone Number (Optional)
    • Shift: Problem
    • Contact Type: RT
  3. Enter the following under, “Interaction Information”:
    • Click “Existing Ticket” button
    • Service: Identity and Access Management
    • Ticket #: Enter the ticket number from RT
    • CC: Enter complete email address (if needed or requested)
    • **Action Taken: Resolved
    • Comments: Unfortunately your Email Alias Request has been denied due to ineligibility. Your current active affiliation with UIC is:[affiliation here]. To be eligible to receive ownership of an email alias; you must be properly affiliated with the university and considered a ‘permanent employee’. If you need further help regarding ACCC accounts, please feel free to contact us again by emailing accounts@uic.edu. Article #83. Please include a greeting above at the close of attached article. (EXAMPLE: “Hello, ”,  “Kind regards”) Please note: there is no option to attach an article in the CCF directly. Therefore, pull up the article in RT first then copy and paste the article in the CCF form in the “Comments” section. DO NOT send/ update the article directly in RT.
  4. Enter the following under, “Additional Information”:

  5. Click, “SUBMIT” button
