Guidelines for sending mass mail or survey email.

Guidelines for Sending Mass Mail

  • The Campus Exchange service does not support mass mail from 3rd parties.  
  • The Campus Email Relays will not give a 3rd party open access to the email relays.
  • The server is an alias to Exchange which requires userid/password authentication.  This server address is typically used by U of I members who prefer email clients like Thunderbird; it is not to be used to initiate email from a 3rd party vendor (e.g. Surveys, or mass mailings). The number of emails and email addresses is limited per login.

The Options for Sending Mass Mail Include:

  • Use the massmail services provided by campus:
    1. Designed to deliver messages to campus members.  See the FAQ for details:

  • Create a mailing list on the Campus Mailing List Service,  This service supports both on and off campus email addresses.
    1. Log into web site with your campus userid/password and click the "create list" tab.  Details found in the Quick Start Guide to List Creation and Basic Management.   
    2. Create a subscribers list - subscriber lists can be automated.  See, Adding Subscribers to a Mail List for options.
    3. Send the email to the mail list and it will send to the recipients.
    4. This server also provides bounce back statistics.

  • The Campus Email Relays can be used for surveys targeting campus members and campus domains.  To use the Campus Email Relays, we will need 3 distinguishing pieces of information from the vendor; given this we can create a short lived rule on the campus email relays that will accept email from that vendor.  This information includes:
    1.  the IP address of the sending server(s)
    2. a distinguishing email header like:  x-survey: surveyName 
    3. a key word in the subject or body of the email

  • Use a 3rd party vendor to send the mass email.  There are a number of Survey vendors recognized by the Campus, see the KB article: WebStore, Online Survey Tools for more information.  That said, all incoming email to campus members is subject to standard spam filtering.  If the vendor has a bad reputation or is recognized as a spammer then we may still need to create a rule as described above.  You can verify a vendor's reputation by checking the vendor's email server IP address at:
