Lecture Capture, Equipped Rooms

Some general assignment rooms at Illinois are equipped for lecture capture/recording and supported by Technology Services. The lecture capture is for on-demand recording only (asynchronous), there is not an option in it for live streaming (synchronous). Zoom is the recommended solution in room for live streaming from these rooms. At this time recording managed by Engineering, Business, or other units is not covered in this article.

Recording/Capture Overview

Classroom recordings are used by faculty to assist students with studying and review; by units to offer online sections; and by Registered Student Organizations (RSOs) or departments to record guest speakers. When recording guest speakers, the RSO or Department will always need to have the guest speaker fill out a video consent waiver and then keep it on file. Public Affairs can also be reach with questions at (217)333-5010. We recommend asking the guest speaker for consent to be recorded, and whether or not they want the recording open, restricted to the campus, or restricted to a set of specific netids.
Instructors/Guest Speakers must wear a microphone to be recorded, and we remind you that anything you project is recorded (even when you mute the image in the room).
Recordings in the rooms listed below are scheduled from, and published to Kaltura, the campus video distribution platform. Media in Kaltura can be published in various ways. The media owner can share the recording...
  • publicly in a gallery or via an embed code on a website
  • with anyone on campus via a restricted MediaSpace channel
  • with a class or department via a closed and protected MediaSpace channel 
  • with a class in a Canvas or Moodle course space
  • anyone via a link on a web page or by email

Lecture capture is intended to serve as an enhancement to the classroom experience. Lecture capture is ideal for students to review before exams or if they are excused from class. Lecture capture is not intended to replace in-class attendance. There are no backup recordings if a technical issue occurs. The decision on whether or not a class is recorded resides with the instructor of record (in the campus course explorer). The instructor can decide when recordings are made available. Recordings in rooms with a camera will not have a camera operator.

 Recording Types

Lecture Capture/Recording equipped classrooms will produce different types of recordings, based on the type of recorder used and whether or not the room has a camera. The type of recording for each room is listed in the table below.

Rooms and Capabilities

We only schedule recordings for classes, we do not record performances. Any cameras are in fixed positions and do not have a camera operator. A list of rooms is available here.


Any of the classrooms above can be scheduled to start and stop recording automatically, and to upload directly to the Illinois' Kaltura system. You can schedule a one time event or a recurring class at http://go.illinois.edu/LectureCaptureScheduling . A netid is required to log in and complete the form requesting a scheduled recording. You can bookmark the short url http://go.illinois.edu/LectureCaptureScheduling for future use.
Technology Services requires a minimum 2 business day notice before the event in order to schedule a recording. This requirement allows for the necessary communication between Technology Services and the requester before a recording. 
In order to schedule a recording we will need:
    1. The course name and number, or event name
    2. The date, time, and end time of the event
    3. Information on whether it is a recurring event
    4. The room number. (It must be listed in the chart above.)
    5. Details on who is requesting the recording, if it is a course recording we will contact the instructor of record for confirmation. If it is a guest speaker, we will need the contact person for the RSO or department.
    6. The netid of the person who will "own" the media once it is uploaded. Media owners can download and publish the recording.
    7. The name of the requester. We will contact the requester with follow up questions related to media publishing.

Manual or AdHoc Recordings

Several of the rooms listed above allow for plugging a USB key into the encoder. See the column "USB ad hoc capable" above. Manual recording requires starting and stoppping the encoder manually, then uploading the recorded .mp4 file from the USB key later. Manual recordings have a 3 hour recording limit.  The recorder stops automatically at that point. Learn more about manual recording operation


It is the responsibility of the media owner to ensure content is captioned. Captioned content is accessible and usable for all and required by state law. If you have a student registered with DRES in a course, please work with both the student and DRES to ensure the media is captioned. If you do not have a specific student need for captions, we recommend that you utilize the captioning resources available in Kaltura. If you have a guest speaker and the lecture can be viewed by the general public or the campus in general, you must have captioned content. More information can be found at Kaltura captioning options.
