Using SCS mail-enabled personnel groups

Please always use the Bcc box when sending to personnel groups that include students to ensure student privacy in keeping with FERPA statutes.

Who's included in a group? 

If you want to see what groups or people are included in a mail-enabled group, here are 2 ways: 

  • Open a new email, and add the group in question to the To: line.  Then, right-click on the group, and select “Outlook Properties”.  A window will open up that will show you the member groups and/or people.  Double-click on any of member groups, and a new window will appear for that group.

Outlook on Windows:

The easiest way to access the SCS, ChBE and Chemistry personnel groups is to click on the "To", "Cc" or "Bcc" button (in orange, below) in a new message in Outlook.  It does not matter which one you choose - you'll have an opportunity to add addresses to the appropriate line (Bcc) later on.  
NOTE: If you don't see the Bcc: field, click on Options then on Bcc in the ribbon.

Clicking on the "To", "Cc" or "Bcc" buttons will bring up the Address book.  Be sure that you're using the "Global Address List" as shown below.  
In the Search box, start typing the first letters of the unit, and you'll see the lists appear.

Select each list that you wish to send to, and click the Bcc: button (in green, above) to add the lists to the Bcc line of your email.  You can select multiple lists at once by holding the <ctrl> key.    
Click OK and you'll return to your email.  Put your email address on the To: line, and then fill the rest of the email in and click Send.  

Outlook for Mac

The easiest way to access the SCS, ChBE and Chemistry personnel groups is to click on the address book icon at the end of the "To", "Cc" or "Bcc" button in a new message in Outlook.  It does not matter which one you choose - you'll have an opportunity to add addresses to the appropriate line (Bcc) later on.  
NOTE: If you don't see the Bcc: field, click on Options then on Bcc in the ribbon.

In the Search box, start typing the first letters of the unit, and you'll see the lists appear.  
 
NOTE: if you don't see "Directory" as shown below, click on the arrows next to the highlighted box, and you'll see a drop-down.  Select "Directory".

Click the red circle on the "Search Contacts and Rooms" window and return to your email.  Put your email address on the To: line, and then fill the rest of the email in and click Send.
