iTravel - Arranging Employee Travel

This article provides step-by-step instructions to arrange employee travel using the iTravel Online Booking Tool.

To follow this process, you must (1) have Travel Arranger permissions in iTravel and (2) be assigned as a Travel Arranger by the employee in their profile. To request Travel Arranger permissions, e-mail the UPAY Travel Management Office at tmo@uillinois.edu.

  1. Log in to the Online Booking Tool.
  2. In the upper right corner of the home page, select Profile.
  3. Under Acting as other user, select Act on behalf of another user.
  4. Select a name from the list and select Switch.
    NOTE: The profile box in the upper right corner states who you are currently acting as.
  5. Select the Flight/Train icon.
  6. Select one of the following options: Round Trip, One Way or Multi City.
  7. Enter the Departure City and Arrival City.
  8. Enter the Departure and Return dates.
  9. Select Time Preferences to specify departure times.
  10. Select the Include Accommodation box to add a hotel to the search.
  11. Enter Destination, Dates, and Distance for the hotel search.
  12. Select Search Flights.
  13. Flight results can be Sorted by Price or use All Filters to narrow the search.
  14. Choose the desired Departure Flight and Select Fare.
  15. Choose the desired Return Flight and Select Fare.
  16. If you choose a Book Out of Policy fare, use the dropdown menu to select a reason.
    NOTE: An explanation is not required. This is for tracking purposes only.
  17. Select Select Seats.
    NOTE: Seat maps will load when allowed by the airline carrier and chosen fare.
  18. Select the Form of Payment and add or update as needed.
  19. Review the Fare Rules and Restrictions and then select the checkbox to accept.
  20. Select Book and Continue.
  21. Select the car company and type of vehicle that the traveler wants to rent.
  22. Select Select.
  23. Review the Traveler Information and select Book and Continue.
  24. Locate the hotel that the traveler wants to book and select View Rooms.
  25. Review the room and rate options, deposit requirements, and cancellation policy before selecting Select.
  26. Enter the Traveler Information and enter the Method of Payment.
  27. Review and accept the rate rules, restrictions, and cancellation policy before selecting Book and Continue.
  28. Answer the questions under Additional Information.
  29. Select Finalize Trip to complete the reservation.
