Rellevate - Direct Payment Program - Creating a Payment Program and Facilitating Payments
This article provides step-by-step instructions for utilizing the Rellevate Management Console (RMC), where you can request payment programs, order payment cards, fund payment cards, download reports, and more.
Login
- The RMC is located at https://uis-rmc.rellevate.com/
NOTE: The University System and Rellevate have activated Single Sign On, allowing you to automatically log in using your University email and password.
Request a Payment Program
Payment requestors must first submit a request through the RMC to create a payment program.
- Select the Direct Payment Request tab, then select Configure Direct Payment Requests.
- On the Direct Payment Requests screen, select Add Direct Payment Request and provide the required information, including:
- Payment Request Name (study name)
- Payment Request Description (can be anything you wish, even the study name again)
- IRB Reference Number (include a dash “-“)
- Unit Name/Department
- Billing Organization (optional)
- Initial Funding Amount
- Location Description (could be your building’s name)
- Address for card shipment (be sure to include the room number, if applicable, and a designated card inventory manager)
- Once the information is entered, select Save and your request will be sent to a University System official for approval.
NOTE: You will receive a confirmation email with a Unique Identifier number and instructions on how to submit your funding request through Emburse. When submitting in Emburse, you will need to use the Account Code 141200 for Rellevate transactions. Once approved, you will be able to proceed to order cards. - Once your request has been approved, you can add additional team members to your payment program under the Direct Payment Requests tab. Select your payment request, and select the green “person” icon with a plus sign, where you can enter the email address of the person you would like to add to your study. The selected team member will receive an email notification letting them know they have been added to the study.
Request Cards
Once your request has been approved, you will be able to order cards for your payment program.
- Select the Payment Methods dropdown and select Request (New Order).
- Select Request Payment Method, then select Paycard.
- Enter information about your card order, including a brief description, quantity of cards, location for shipment, and preferred embossing: standard or personalized.
NOTE: For standard embossing, enter your preferred embossing (i.e., Thank You, Research Card). For personalized embossing, upload a CSV file with the first and last names of your cardholders in the first two lines. - Select Request and your order will be processed.
NOTE: Once ordered, cards will arrive within 5-7 business days.
Assign Cards
Cards will arrive in bulk in a packaged box. Within the package, cards will be in individual white envelopes. A card must be assigned before it can receive funding. Assigning a card connects a card directly with the cardholder.
- Select Payment Method to begin assigning cards.
- Navigate to the Payment Methods dropdown, then select Query Available.
- Physically pick up a card from the box and look at the last four digits on the envelope, which will be prominently displayed. Look for that card and the corresponding last four digits on your screen. Use the search bar in the top right of your screen for assistance.
- Once you have found that exact card, select the Assign button.
- On the following screen, enter the cardholder information, including: name, e-mail address, address, date of birth, and a member code.
NOTE: Member code is a unique identifier, like student ID numbers, and is not a required field. - Once cardholder information is entered, select Assign, and hand the cardholder their Rellevate card. Repeat this for as many cards as you would like to assign at this time.
- The cardholder will receive an automated e-mail with corresponding instructions for card setup and activation. The cardholder can also call the toll-free 1-800 number found on their card.
NOTE: Rellevate does not have the capability to have cards shipped directly to the participants. Please contact the administrators at payprogapproval@uillinois.edu if you need cards shipped directly to participants.
Fund Cards: Option 1
- To begin funding cards, select the Payments tab, then select Payment Requests.
- Select Create Payfile.
- Select the individual(s) you wish to pay and select Next.
- Under the Amount tab, enter the payment amount and then select the Payment Descriptor which defaults to "Card Load".
- Select Process. This card has now received payment.
Optional: Request Custom Payment Descriptors
- The default Payment Descriptor when facilitating a payment is “Card Load”. Payment Descriptors can be used as an internal tracking mechanism to associate the payment with a payment milestone (i.e., visit 1, visit 2, etc.). Custom Payment Descriptors can be added upon request by your program administrators. You can request these at payprogapproval@uillinois.edu.
Fund Cards: Option 2
For bulk payments, you can upload a payfile.
- Under the Payment Requests tab, select Upload Payfile, and upload your payment file.
- Select Generate Template to generate a template.
NOTE: Make sure your payment file is uploaded as a CSV file. When you generate a template, you will have the option to create a template of all cardholders or groups.
Create Groups (Optional)
- Select Manage Groups, then select Company Groups.
NOTE: Once a direct payment request is approved, a group is automatically created with your payment request name. - Select the person icon, then select Names to add members to a group.
- Select Add Group to create a custom group.
NOTE: Only assigned cardholders can be added to groups.
Download Reports (Optional)
- Select Reports and Payment Methods Dashboard.
NOTE: You can view real-time reporting on distributed, activated, and inactivated cards, along with disbursed funds. - Under the Payments tab, select Direct Payment Request Balance.
NOTE: You can filter payments via date range and select Export Balance Movements to view all payments paid out via CSV.
