UPB - Entering Your Time for Part-Time Salaried-Non Exempt Employees

This article outlines steps for Web Time Entry for part-time Salaried-Non Exempt employees who have been assigned an Academic Hourly job for time reporting purposes.

These salaried part-time employees are required to report time as defined by the position:

  • Regular hours worked, up to the number of hours defined by the position, tracked not paid
  • Leave time used, up to the number of hours defined by the position, tracked not paid
  • Additional regular hours to be paid, defined as:
    • Hours worked exceeding the part-time hours defined by the position
      AND
    • Not exceeding 37.5 or 40 hours per week
  • Overtime hours to be paid

NOTES:

  • Leave time used must be tracked in the system currently used by the employee for leave reporting (e.g., AVSL, VSL, GoTime!).
  • Work hours tracked via time reporting on the assigned Academic Hourly job satisfy the requirements of the State Officials and Employee Ethics Act (SOEEA), and impacted employees are no longer required to submit work hours through the Positive Time Reporting (PTR) System.

Start your timesheet.

  1. Log in to Employee Self-Service.
  2. Access the Employee Dashboard.
  3. Select the Enter Time button.
    NOTE: The timesheet will default to the current pay period.
  4. Select the Start Timesheet. An empty work schedule displays.

Add the tracking hours.

Use the FLSA – Work Hours – Tracking Only earn code and the FLSA – Leave – Tracking Only earn code to record the hours which correspond to the hours defined by the part-time position.

  1. Select a day to enter time.
  2. Select the appropriate earn code from the list in the Earn Code field.
    • FLSA – Work Hours – Tracking Only
    • FLSA – Leave Hours – Tracking Only
  3. Input the number of hours in the Hours field.
  4. Select Save.
  5. Edit each day as needed.
    NOTE: Select the right carousel arrow in the schedule to advance to the next week or use the Copy feature to quickly reproduce edits on other days.
    1. Select the Copy icon for the earn code you wish to copy.
    2. Choose the dates or options you want to copy to.
    3. Select the Save button.

Add the additional hours to be paid.

Use the FLSA – PT Add’l Work Hours Paid earn code to report hours in excess of the regular hours defined for the part-time position and which do not exceed 37.5/40 hours. These are paid at the regular rate of pay or straight time rate.

  1. Select a day to enter time.
  2. Select the FLSA – PT Add’l Hours Paid earn code from the list in the Earn Code field.
  3. Input the number of hours worked in the Hours field.
  4. Select Save.
  5. Edit each day as needed.
    NOTE: Select the right carousel arrow in the schedule to advance to the next week or use the Copy feature to quickly reproduce edits on other days.
    1. Select the Copy icon for the FLSA – PT Add’l Hours Paid earn code you wish to copy.
    2. Choose the dates or options you want to copy to.
    3. Select the Save button.

Add any overtime worked.

Use the FLSA – Time & Half Overtime earn code to record hours worked beyond 37.5/40 hours per week. The overtime rate is 1.5 x the hourly rate of pay.

  1. Select the day of the pay period to record overtime.
  2. Select Add Earn Code.
  3. Choose the FLSA – Time & Half Overtime earn code from the list in the Earn Code field.
  4. Enter the number of overtime hours in the Hours field.
  5. Select the Save button.
  6. Edit each day as needed. Use the Copy feature to quickly reproduce edits on other days.
    1. Select the Copy icon for the FLSA – Time & Half Overtime earn code you wish to copy.
    2. Choose the dates or options you want to copy to.
    3. Select the Save button. 

Submit the timesheet.

  1. Select the Preview button (lower right). Review the rows in the Time Entry Detail and Summary sections to verify correct entry.
  2. Select the Submit button.
