SharePoint - 5,000 List Items Limitation

Some call this SharePoint's magic number - 5,000. This is the maximum number of list or library items you can operate on at any given time.

Some call this SharePoint's magic number - 5,000.  This is the maximum number of list or library items you can operate on at any given time.  If you do, an error may appear such as:

"The attempted operation is prohibited because it exceeds the list view threshold enforced by the administrator".

The reason behind this limitation has everything to do with database performance.  SQL Server databases sit behind every SharePoint list and library, and their functions are driven primarily by direct database queries.  So the more items in a list or library, the harder the database needs to work, and the more perfomance becomes comprised for every SharePoint user in the entire farm.

What should you do?  There are many approaches to take with managing large lists that will avoid this issue and at the same time make your SharePoint site run faster and more efficiently.  There is a wonderful online video training course for managing SharePoint lists (Lynda.com) that directly addresses this limitation and demonstrates several ways to solve this problem.
