Zoom, Role-based Account Access

Departments have the option to create role-based accounts (non-person accounts) for use with Illinois Zoom. The information below details what departments need to do to use an existing account or create a new account for use with Zoom.

Using an existing role-based account

This option is to use an existing role-based account and request a Zoom license be applied.

The account must already be mail-enabled and must have signed into Zoom on the web using it's UPN to get a confirmation email. After the account has been confirmed, send an email to consult@illinois.edu requesting the Zoom account be upgraded to a Zoom Education license.

Creating a new account for Zoom use

  1. Create the new account in Active Directory

The first step is to create an Active Directory (AD) user in the department's Organizational Unit (OU). This will have to be done by someone who has been delegated OU admin authority, typically the unit's IT Professional. More information about how to create a user object in AD can be found here: Active Directory, How to create an AD Account In Department OU.

Note: When you first create a user object in AD, you are given the opportunity to enter the User Logon name.  The first blank shown below will become the account's mail attribute and therefore will be the Zoom account's email address.  However, the domain you select here (ad.uillinois.edu, illinois.edu, or uillinois.edu) will NOT affect the domain of the email address. All accounts will get the mx.uillinois.edu email address by default. The domain you select here will only affect the username used to log in to the account. If you want an illinois.edu email address for the Zoom account, complete the following step prior to mail-enabling the account.
  2. Request a Group Alias (optional)

To get an email address for a role-based account ending in illinois.edu, please complete the Group alias form. In the email delivery address of the group alias request, enter the default email address of the new account: account-name@mx.uillinois.edu.
  3. Mail enable the account

Send an email to consult@illinois.edu requesting to mail-enable the new account. If you requested an illinois.edu alias, please specify that you would like that SMTP record added to the account, and whether you'd like it to be the primary SMTP record.
  4. Log the account into illinois.zoom.us

Zoom accounts are provisioned the first time they are signed into illinois.zoom.us. The logon address is the account UPN. Once signed in, you have completed the setup of a new role-based account that will allow you to access Illinois Zoom.
  5. Licensing (Optional)

After the account is created, enabled, and you have logged into illinois.zoom.us (described above), please submit a ticket to consult@illinois.edu or call 217-244-7000 requesting that the account be upgraded to Licensed. Include the User Logon Name created for the account and ask that it be escalated to Zoom Tier 3.
