UPB - Accessing, Reviewing, and Approving Pending Timesheets as a Superuser in Web Time Entry
Superusers sometimes need to step in to review and approve timesheets when neither the Approver or Proxy Approver is available during the time approval window or if a routing queue is broken preventing timesheet approvals from occurring through the normal process.
The instructions below will guide a Superuser through the steps to review and approve Pending timesheets.
Accessing the Superuser Role
- Log in to the Employee Dashboard.
- Select Approve Time.
NOTE: If you do not have an Approver role, an alert will appear saying, “No Timesheet documents available for approval.” You may remove the alert by clicking on it. - Select Proxy Super User in the upper right corner of the page. The Proxy of Super Users access page displays.
- Select the checkbox for Act as a Time Entry Approvals Superuser. The following text will be displayed in the upper right corner of the page, "You are acting as a Superuser for Time Entry Approvals." This access will remain in place throughout your Web Time Entry session unless you return to the Proxy or Super User access page and deselect the checkbox.
- Select the Navigate to Time & Leave Approvals applications button in the lower right of the page.
Accessing Pending Timesheets
- Open the Select Pay Period menu to display a list of the available pay periods.
NOTE: The current pay period will only be available for selection if at least one employee started their timesheet. - Select the current pay period. Timesheets will be displayed below the filter based on your timesheet organization and employee class security access, except those in a Not Started status.
- Begin entering your timesheet organization in the Departments filter and select it when it appears in the drop-down list. If you only have security access for one timesheet organization, that timesheet organization will be the default.
- Select Pending from the Status drop-down list in the filter or select the Pending bar in the Distribution Status Report to view only Pending timesheets.
Reviewing and Approving a Pending Timesheet
- Click the row for the timesheet you wish to review.
NOTE: The default display is 10 records for each page. You may need to advance through the pages by using the Next Page button. Alternately, you may enter the UIN or name of the employee in the Enter ID/Name field of the filter if you wish to access a specific employee's Pending timesheet. - Review the Timesheet Detail Summary.
- The Time Entry Detail section shows dates for reported earn codes and corresponding hours for the pay period.
- The Summary section consolidates the hours by earn code and pay period week. To correct hours or review the Account Distribution information, see Steps 4-9 in the job aid, Approving and Correcting Timesheets.
- Select the Approve button to approve the timesheet.
