The Enterprise IT Service Catalog
The Enterprise IT Service Catalog is a campuswide resource that serves as a single source for discovering, requesting, and getting help for IT service offerings. Catalog management processes ensure that information remains accurate, current and accessible to campus users.
Service offering owners are responsible to for maintaining their entries by adding new offerings, updating existing ones, and removing retired services. These updates can be submitted through the Enterprise Service Catalog Request Form.
Please note: A service offering entry is not intended to replace existing documentation. Instead, it should provide a clear overview and link to any detailed resources maintained outside of the catalog.
Add, Update, or Unpublish Service Offerings
The Enterprise Service Management Office (ESMO) provides a service catalog request form for service offering owners to submit new, update existing, and unpublish retired service offering entries in the Enterprise IT Service Catalog. Both offering owners and their designated delegates may submit the form.
Once a request is submitted, ESMO will review the information, coordinate with the submitter as needed, and make the approved changes to the catalog.
Form Help and Examples
The Enterprise IT Service Catalog Request form includes built-in help text, however due to limited space, additional guidance and examples may be helpful for submitters.
The "Propose a new service offering" and "Propose a change to an existing offering" are similar, but differ in required fields:
- Propose a New Service Offering - Most questions are required.
- Propose a Change to an Existing Offering - Only the offering name is required, all other fields are option so you can update only the attributes you wish to change.

Propose a new service offering
What is the name of the service offering?
Service offering names need to be easily recognizable by users. Follow these naming standards:

- Use a simple, familiar phrase that reflects the offering’s core functionality. The name should be distinct from EDUCAUSE Service Catalog Model category and service names.
Example: Cybersecurity Incident Response - You may use the vendor and product name (or just the product name) if it is well-known and a reasonable user without specialized knowledge would recognize it.
Example: Canvas at Illinois - You may place the vendor and/or product name in parentheses after the default name when the number of offerings in a service is small, and the extra context is helpful.
Example: Video Conferencing (Teams), Video Conferencing (Zoom) - You may add a parenthetic insertion to the default that includes a specific attribute, when a service contains multiple offerings with the same default name and the inclusion of vendor or product would not distinguish them
Example: Computer Labs (Campus), Computer Labs (Virtual)
- Use a simple, familiar phrase that reflects the offering’s core functionality. The name should be distinct from EDUCAUSE Service Catalog Model category and service names.

Provide the NetID of the offering owner
The offering owner is the individual who is accountable for a service offering. They are responsible for the service lifecycle, contracts, and determining appropriate performance and availability measures and targets.

- The offering owner can be thought of as the subject matter expert for the service offering.
- They keep the offering's catalog entry up to date.
- The NetID must correspond to an individual, not a group, team name, or alias.

Provide the NetID of an owner delegate/alternate owner delegate
The delegate is an individual who can request changes to offering entries on behalf of the owner. The offering owner may appoint two delegates. The NetIDs must correspond to individuals, not a group, team, or alias.
What unit, college, or department provides this offering?
This is the organization that makes the offering available to users. The provider is typically a campus unit, college, or department. It is not a vendor. (Examples: AITS, ATLAS, CITL, etc.)
Is this service offering available to users outside of your unit/department?
If the offering is available to at least one user outside of your unit/department, it qualifies as an enterprise offering. Select "Yes." If the offering is only for users within your unit/department, select "No."
List any other names that users may know this offering as
What other names, aliases, or colloquialisms might a user know and refer to this offering as? This is helpful for searching and offering identification. Do not repeat words. (Example: Canvas at Illinois is the offering name, you do not need to include “Canvas” or “Illinois Canvas” as other names, but you may want to include "LMS" (Learning Management System.)
Provide a one to two sentence description of the offering's primary purpose
The offering description should be written for the end user and include its primary purpose. It does not need to include other attribute information like cost and who can use the offering. (Example: Canvas is a cloud-based digital learning platform that enables educators and students to create, access, and share online learning materials. Designed for users of all ages, Canvas is widely used by schools, universities, and businesses.)
What are some key features and user benefits?
List up to eight items (each on a separate line) that will help users understand why they would choose this offering. This will appear as a bulleted item list. Stick with key facts, and allow service offering documentation to provide additional details.
Who can use this offering?
Choose the groups who can generally use this offering. If selecting “IT Professionals only” leave the other choices unchecked. (Examples: IP Address Management is only for IT Professionals; Campus Wi-Fi Network is for a wider audience: alumni, faculty and staff, retirees, students, guests, and visitors.)
If you selected other, please provide a short description of who the offering is available to
Briefly describe who else can use this offering. (Example: Research affiliates, contractors, visitors to campus).
Which of the following special interest tag apply to this offering?
Option to select from Students, Instructors, Researchers, IT Professional and Guests. This is optional. Tags are used to identify offerings to display in special interest views.
How should a user request access to the offering?
A single URL is preferred. Any email address or phone number should not belong to an individual. Some offerings are automatically provisioned, and do not require a request. For these, enter “A request is not needed.” (Example catalog entry with a TDX form: Audio Visual Consulting)
How does a user access the offering?
Provide a URL or other mechanism a user will need to access the offering (Example: https://canvas.illinois.edu)
Is there a charge to the individual or their unit for this offering?
Will the user or their unit need to pay for the use of this offering? This does not include the cost the provider assumes to deliver the offering (Examples: through rate and funding, vendor contracts, etc.)
If yes, please summarize the charges
What would a user (or their unit) need to pay for them to use this offering. Keep this brief. You may provide a URL which explains the charges. This does not include the cost that the provider assumes to deliver the offering. (Examples: $100 per year; $1 per GB of RAM per month)
Where would a user go for help?
This would typically be a Service (Help) Desk. A URL is preferred. Do not include personal contact information.
Provide the hours that a user can get help with this offering
This is for normal, not emergency, support. These are the hours in which a user could expect support from someone. Keep this brief.

- For custom times, use military format (example: 07:00 – 19:30), days of the week, and provide the time zone (example: Central Time)
If available, where can a user learn more about training for this offering?
A campus specific URL is preferred.
Has the offering been assesses for ADA compliance?
Indicate whether the offering has been evaluated to ensure it meets the accessibility standards required by the Americans with Disabilities Act (ADA)
Has the offering been assessed to determine what data classifications are permitted?

Propose a Change to an existing service offering
What is the name of the service offering?
This is the name of the existing offering for which you want to change one or more attributes. The name should be the same as it is displayed in the service catalog.

Unpublish a service offering
Select this option to remove an offering from public view. It will remain available for reporting and portfolios. However, it will no longer be visible in the catalog.
What is the name of the service offering?
This is the name of the existing offering for which you want to change one or more attributes. The name should be the same as it is displayed in the service catalog.
Provide the reason to unpublish the offering
Give the reason why the offering should no longer be visible in the service catalog and provide supporting documentation, if available. Also, give us the date on which the change should occur. (Examples: the offering is being retired and will no longer be available after December 31, 2025; The offering was approved by leadership to be retired on January 5, 2026)
