Classrooms - AV - 2175 COMRB - Join Video Conference from Room PC

How to start up the AV system in this room and display the built-in PC for purposes of also using the room mics and cameras.

This room is intended for all-room participation in meetings and classes. As such, there are cameras and mics directed at the "audience" within each room. Accordingly, free exchange between all virtual and physical participants is enabled. The entire room is mic'd, so all sounds in the room will go out to the video conference.

  1. Press touch panel to wake up from black screen

  2. Press again to start Room AV Equipment

  3. Choose your action. Select “Presentation”

  4. Wait for Starting Up

  5. Slides and video can be shown on the room displays using any source: Room PC, Podium HDMI laptop connection, or Podium USB-C laptop connection.

  6. To Video Conference, use the Room PC.

    drag “PC Primary” to the Left Display and “PC Secondary” to the Right Display

    (opposite what may be shown below)

  7. Log in to the PC

  8. Now, any action on the PC will incorporate Room Mics, Speakers, and Cameras as appropriate.

  9. Log in to your preferred Web Conferencing platform on the PC:

  10. Start or Join a Meeting

  11. Note, mute/unmute in Zoom and mute/unmute with the physical mics on the table work together: room lights and mics turn red when muted, green when unmuted.

  12. To easily manage video conferencing and share Content, Be sure the Primary display is on the left of the room

    • Start the Presentation of the slides

    • If the presentation is on the Right monitor, Use "Display Settings" in the top right to "Swap Presenter and Preview" to move it back to the left. The slides will also appear on the Podium monitor

    • Minimize the "Preview Slides" that appear on the Right monitor
    • Share the Presentation to the Zoom meeting

    • Move the Video window showing participants to the Right monitor

    • Use Zoom settings to determine who is visible

  13. Use the control panel to adjust the camera

    • PreSet 1: Full Room

    • PreSet 2: Zoom in on the head of the table

    • PreSet 3: Directed at the podium presenter

  14. When finished, be sure to:

    1. Log out of Zoom, email, any other applications on the PC
    2. Do not log out of or shut down the Room PC itself
    3. Press "System Off" on the Touch Panel to power down the room AV equipment.
