ODOS-SSIB New Employee Welcome

This is a quick guide on some of the perks of being a University employee as well as how-tos of common questions for those in the ODOS and SSIB departments.

Welcome to Student Affairs

We’re so glad to have you join the team! This guide is meant to provide general department information to help you get off to a great and productive start.

Technical Issues

Below are ways to go about resolving technical issues with your computer hardware.

Submitting a Ticket

Icon on your desktop that says Submit SATech Help RequestIf you experience any issue with your computer hardware or have any questions related to IT, you can always put in a ticket with your Student Affairs IT team. On your Desktop is an icon that says “Submit SATech Help Request” which will take you to this website. Be sure to fill out the Request Area field with either ODOS or SSIB, whichever you fall under. You will then need to choose the actual department you belong to. IT will generally get back to you within a couple of hours, but it is usually much quicker than that. Please be as descriptive as possible when filling out a ticket. Tech Services has created a “Dos and Don’ts” of filling out a ticket here.

Finding Technical Answers on Your Own

If you are someone who likes to self-diagnose your computer issues, then there is a campus Knowledgebase available to everyone to find answers. The Knowledgebase can be found here https://answers.uillinois.edu/. Type in keywords in the Search box and it will return articles based on those keywords.

Data Storage

Company data should be stored on the Z drive under “This PC”. The Z drive is a shared drive for all the department. You also have an H drive which is your personal drive that only you have access to. This is for personal company data that doesn’t necessarily need to be shared with everyone. Keeping data on these drives is best practice as there are daily backups made. IT would be able to restore data if it is accidentally deleted or something happens to your computer.

Box storage

As employees, we gain access to Box for online collaborate storage of data. In order to use it for the first time, you must enable Box for your account. You can enable Box and Google Apps via the Cloud Dashboard.

Software Perks

As a University employee, you have access to a variety of software for free or discounted.

Webstore

You can access various software products through the Webstore. Most software requires administrator approval before installation, so please submit a ticket when you need to install software.

Adobe Creative Suite

Employees have access to almost the entire Adobe Creative Suite for free. You will need to use the Webstore to check out a license before using any Adobe software. This license needs to be renewed annually, and a reminder will be sent out before your license expires.

Microsoft Office

Employees have access to Microsoft Office using their Illinois account. You can install Office on up to five computers. You can also view your email and use any of the Office applications online through a web browser by going to the Online Web App.

Software Center

There are many pre-approved applications available for installation that do not require IT credentials. You can find them by going to your Start menu and typing "Software Center." You will see an array of programs available for installation. If you do not see what you need, please submit a ticket with IT to see if it can be added.
