HOW TO: Create a rule from an email in Outlook
Creating a rule in Outlook to automatically move iBuy Requisition emails to a folder
Using Outlook (classic) for Windows
The simplest way to create a rule is from a message that you want to do something with.
In this tutorial, we'll move messages from "AITS iBuy Production Support" to a new folder called "iBuy_Requisitions", which we'll create as a subfolder under Inbox.
- Highlight a message from "AITS iBuy Production Support" in your Inbox.
- In the ribbon, find the "Move" section (see the arrow below). There you'll find the Rules icon, circled below.

- Click on the Rules down arrow, and you'll see the Create Rule... option.

- When you click on Create Rule..., a new window will appear with options.

- Click the checkbox to the left of From [sender] - in this case, From AITS iBuy Production Support
- Click the checkbox to the left of Subject contains - note that this has the full subject line of the email you selected
- Edit the textbox after Subject contains, be sure that the text selected is specific to the emails that you want, but not so specific that only this one email is caught by the rule.

- Put quotes around any phrase (specific words in a specific order) that you want.
- In this case, we'll put quotes around "iBuy Requisition" to ensure that only messages that have the phrase "iBuy Requisition" will be selected - emails with the individual words in the subject will not be caught by this rule.

- Click the checkbox to the left of Move the item to folder
- When you click on the checkbox next to Move the item to folder:, a new window will appear:

- Navigate to what will be the new folder's "Parent" - in other words, the folder that you want the new folder to be directly under.
- in our example, we'll make a folder under the Inbox. So we selected the Inbox folder, as shown above.
- Click on the New... button and the "Create New Folder" screen will appear.

- In the "Name" textbox, give the folder a name that you'll easily identify.
- For this example, we'll use
iBuy_Requisitions. Then click on the OK button.

- Now you'll be back to the "Rules and Alerts" screen, and you should see your new folder. Be sure that the new folder is selected.
- Click on the OK button.

- This will return you to the "Create Rule" screen, but this time you'll notice that the Move the item to folder option has your new folder name filled in. For our example, that means it shows the "iBuy_Requisitions" folder.

- Click OK. If everything has gone correctly, you'll see a "Success" window appear.

- If you want to move all of the emails that your new rule matches to the folder you've created, click the check box next to Run this rule now on messages already in the current folder.
- Click OK to exit the Rules Wizard.
