Ability LMS - System Access Levels

This document provides an overview of the various levels of access available within Ability LMS and the process for requesting elevated access.

General Users

General users, meaning anyone with an active NetID and password, are called Learners in Ability LMS. There are two types of Learners in the system: employees and non-employee students.

Employees 

Ability LMS receives a daily feed of employment data from Banner HR. This feed creates learner records for anyone with active job record. Learner records for employees contain employment and job data, including chart, college, org, e-class, and email. This makes it possible to assign these Learners to training using those data items, and Ability can also trigger enrollment and reminder communications to these users.

When an employee's job record becomes inactive or they leave the U of I System, their learner record in Ability LMS becomes inactive. Learner records are not removed and all learning history continues to be stored within Ability. If a new job records becomes active in Banner, the corresponding learner record in Ability LMS will reactivate.

Non-employee Students

Non-employee students can also access Ability LMS and complete training. The only limitation is that the system does not receive Banner Student data, which means there are not permanent learner records for non-employee students. However, all history records created by non-employee students will remain within Ability LMS and those records are reportable.

Elevated Access Users

There are two types of elevated access profiles within Ability LMS: Reporter and Trainer.

Ability LMS Reporter

The Reporter profile provides users access to the Courses and Reports segments of Ability LMS. The profile, as suggested by its name, is designed to pull training history reports from the system. Before requesting the Reporter profile, users must first complete the following required training: Ability LMS - Training for the Reporter Profile. Once the training is complete, users must have their Unit Security Contact request the profile in the Security Application. All Ability LMS profiles are located in the Other section of the Sec App.

Ability LMS Trainer

The Trainer profile has all the access as the Reporter profile with the addition of the Catalog, Master Schedule, and People segments and increased access to the Courses segment. This profile is designed for users who administer and deliver training.
